About the Role

The Client Service Coordinator is the first and last impression of our hospital. This role is essential in delivering an exceptional client experience while ensuring smooth and efficient front-desk operations in a fast-paced specialty and emergency environment.

Veterinary experience is strongly preferred, but we value a positive attitude and willingness to learn.

Basic Required Qualifications

  • High school diploma

  • 1+ years of customer service experience (veterinary experience strongly preferred)

  • 1+ years of hospitality experience creating a welcoming client environment

  • Competent and reliable data entry skills

  • Working knowledge of Microsoft Office (Word, Excel, Outlook)

  • Typing speed of 45+ WPM

  • Proficient use of a 10-key calculator

Key Responsibilities

  • Welcome and assist clients and their pets with warmth and professionalism

  • Provide reassurance and clear communication during stressful situations

  • Schedule appointments and coordinate procedures

  • Manage and maintain the hospital calendar

  • Answer multi-line phones and respond to emails

  • Provide accurate information about hospital services

  • Maintain accurate and confidential medical records

  • Process check-in/check-out paperwork

  • Calculate fees, process payments, and assist with invoicing

  • Communicate effectively with doctors and clinical staff

  • Support smooth daily hospital operations

  • Remain calm during emergency presentations

  • Direct clients appropriately and support workflow needs

Schedule

  • Full-Time

  • 4/10 schedule available

  • Weekend and some holiday availability required
