PRIMARY FUNCTION: Manage all financial activity for the Department of Psychiatry Human Behavior to include yearly budgeting, tracking, and reporting. Assist the Department Administrator with internal/external projects to include associated contracts and proposals. ESSENTIAL FUNCTIONS: Responsible for the daily financial operation of the departments University, Clinical, Grant/Contract, Hospital, Special Purpose, Endowment and Gift accounts. Prepare budgets, manage expenses and review the financial performance for the departments University, Clinical, Grant/Contract, Hospital, Special Purpose, Endowment and Gift accounts. Prepare or assist faculty with budgets for clinical trials, federal grants and misc. contracts Monitor all financial grant/contract activity from pre-award to closure of grant, including effort certification. Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson. OTHER FUNCTIONS AND COMPETENCIES needed in addition to Essential Functions: Back up timekeeper and responsible for a thorough understanding of payroll issues as related to LOA, FLMA, sick, vacation and overtime for faculty, residents, non-physician providers and support staff Assist in hiring, training and supervision of clerical support staff for the Administrative Office Assist with new business proposals and budgeting to include new faculty and provider proposals, e.g. SFRAR process Process Faculty and Staff effort changes, A/P requests, Credit Card Payments, Cost Transfers and IDTs Prepares monthly productivity reports, e.g. RVU, Service and Payment Analysis, etc. Prepares reports for regulatrory entities, e.g. DBHIDS, CBH, City of Philadelphia Oversight of internal and external contracts to include preparation, addendums, invoicing, collections, deposits.FINANCIAL MANAGEMENT Review reveunue and expense tagrets from JUP/TJU/TJUH Special attention to budgeting all salary expenses based on faculty and staff effort Budget revenue, overall salary expenses, and overall operating expenses based on historical data as well as new and/or revised clinical, educational, contract and grant activity Budgeting for all departmental accounts to include all clinical, special purpose, gift, grant, endowment, grant and contract accounts. Continually review and track faculty and staff effort in all areas, i.e. clinical, research, UME, GME, admin, etc., and adjust salary distributions accordingly. Continually monitor financial performance of all departmental accounts and provide weekly, monthly, quarterly, and yearly reports for Chair and Adminsitrator review. Continually monitor clinical productivity performance and provide weekly, monthly, quarterly, and yearly reports for Chair and Adminsitrator review. Work with ORA / RACE to project Direct Indirect indirect expense based on current year spending and new awarded grants Review final year end statements for all accounts Prepare any journal entries, transfers and/or accruals for year-end closure Review final year end statements with Chair and Adminsitrator Review monthly reports for revenue and expense variances Report to Chair and Administrator any unreasonable variances Approve all A/P requests based on budget expenses for dues, subscriptions, travel, supplies etc. Record monitor individual provider incremental expenses to ensure no negative variance to approved limits Review general ledger for accurate posting and expense variances Review general ledger for IDTs or JEs submitted by other departments Report to Administrator any unreasonable variances EDUCATIONAL/TRAINING REQUIREMENTS: Bachelors degree in Finance or Business Management, Masters degree preferred.EXPERIENCE REQUIREMENTS: 5-10 years of progressive experience in accounting, grant accounting, budget, general ledger reconciliation, account analyst, etc.________________________________________________________________________ADDITIONAL INFORMATION: Should be proficient in Excel, Pivot Tables, Smart View; able to multi task complete assignments as requiredWork Shift
