About the role

Position manages and has approval authority, as delegated by the department head, over all business, financial, budget, human resource, and administrative functions in the department of Kinesiology, Recreation, & Sport Studies (KRSS).  Position ensures policy, procedural, and legal compliance in financial and human resource operations.  Position assists the department head in administering office operations, academic, and data management responsibilities. This position supervises non-exempt staff and has major impact on the continued success of the department through strategical planning, fiscal guidance, and integrity, which is projected to both internal and external stakeholders.

Financial Management

• Has approval authority in conjunction with dept. head on financial and administrative activities (both signatory and electronic) 

• Manages dept. expenditures on departmental and related center accounts, including state appropriated accounts, start-up accounts, seed accounts, endowed and non-endowed gift accounts, income accounts, and research accounts. 

• Oversees/manages dept. financial operations including oversight of business functions and data entry activities (purchase requisitions, accounts payable, accounts receivable, procurement card, internal transfers, expense reimbursements, inventory, travel, etc.)

• Represents department at college financial meetings, including but not limited to budget meetings

• Responsible for ledger reconciliation monthly

• Evaluates dept. internal business procedures and develops/implements improvements in consultation with dept. head and CEHHS Dean's office

• Prepares ad hoc reports for dept. head, faculty, and the college fiscal officer as needed

• Provides financial control information to dept. head and faculty regarding unrestricted funding

• Provides financial and human resource training for departmental faculty and staff as needed

• Manages and oversees summer school projections as well as revenue and expenses to determine if enrollment and pay criteria have been met and to determine financial viability of the classes in conjunction with the CEHHS Dean's Office.

Human Resource Management

• Has approval authority in conjunction with dept. head on human resource, personnel and payroll related business activities (both signatory and electronic).

• Reviews and oversees human resource, personnel and payroll actions initiated by dept.; includes position creation and management, new hires, position transfers, requests for pay or funding changes, terminations, additional payments, etc.

• Ensures department actions are compliant with UT Human Resources Policies and Procedures.

• Conducts searches to fill vacant faculty or staff positions, in conjunction with the department head.

• Initiates Recommendation for Faculty Appointment forms when hiring faculty and ensures successful candidates are hired in DASH. 

• Performs ad hoc human resource, personnel and payroll reporting for dept. head, faculty, and the dean's office.

• Supervises non-exempt employees, assigning responsibilities while ensuring a balanced workload and cross-training opportunities.

• Conducts performance evaluations for direct reports, setting goals and implementing corrective action when needed.

• Write position descriptions.

• Coordinates and tracks graduate assistantship position assignments.

• Conducts applicable training or provides training resources for personnel.

Data Acquisition & Analysis 

• Coordinates and provides accurate records regarding financial and student databases for accreditation reviews and surveys for academic program areas, and other pertinent surveys.

• Prepares reports on expenditures & projections, research productivity, etc., for department head use for decision-making purposes.

• Collects and analyzes data necessary for annual budget preparation & reporting, routine audit assessments, space inventory surveys, etc.

• Compiles scholarship and fellowship information, such as award criteria and restrictions.  Maintains records of student awards.

• Maintains accreditation documentation.

• Maintains departmental databases for graduate students, office, and laboratory assignments.

Research Fiscal Oversight: 

• Reviews budget justifications and provides recommendations as appropriate.

• Participating in Award Checklist meetings for all projects.

• Works with college financial staff to calculate and submit requests for labor distributions. 

• Consulting with the CEHHS Office of External Funding and/or the CEHHS Post-Award team as needed.
