Responsible for scheduling activities for Asset Management or Transactional project protocols. Plans and implements resource allocation for projects/programs in consideration of project scope complexities, available capacity, resource qualifications/expertise, department productivity and travel to maximize efficiencies, project profitability and overall success.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other job-related duties may be assigned in conformance with state and federal regulations.
- Directs and oversees scheduling activities for land survey-specific projects including but not limited to: ALTA land survey, subdivision/platting, utility location, topography survey, geotechnical service coordination, boundary survey, wetlands delineation, and tree survey.
- Operates as dedicated liaison between client, sales lead, vendor, and team regarding a project’s status, as well as provide administrative communication and issues resolution as needed.
- Prompts the processing of change orders as needed with the sales lead and client services.
- Quality checks project set-up and site information research and communicates corrections to Project Coordinators.
- Review vendor pricing and timing received to ensure accepted bid meets client specified scope of work and selects recommended vendor for each service.
- Lead vendor recruitment and onboarding into FLEX, delegating responsibilities and tasks to Project Coordinators where/when needed.
- Manage and solicit vendor information including setup meetings, in person or virtually, to improve relationships and build a stronger vendor network/database. Maintain good working relationships with vendors, as well as understand their workload, capacity bandwidth, and regional coverage.
- Assists with resolving issues with project scheduling and contacting point(s) of contact.
- Provides project-related information verbally and/or electronically directly to the Client.
- Leads point on client questions and requests post-delivery, and delegates follow-up instruction where needed to bring resolution.
- Can independently engage with Client Services/Sales Team for relevant additional information that is critical to workflows.
- Provides partnered engagement with team leader oversight in client-facing communications
- Can independently communicate expected tasks and deliverables with vendors
- Client-facing role; Can independently engage directly with clients in a professional manner for information critical to workflows.
- Delegates team tasks as needed to meet strategic goals set by Project Managers, Program Manager and organization.
- Independently develops resource plans for projects/programs based on the project scope complexity, qualifications/expertise, travel efficiencies, department productivity and capacity to maximize project profitability and success. Project scopes vary in complexity due to different facility types, protocols, client-specific requirements, contractually agreed upon turn-around times, local regulations and code, geographic locations, and site conditions.
