Position Summary

The Christian and Missionary Alliance (C&MA) is seeking an Administrative Coordinator. This is a full-time position located in Reynoldsburg, Ohio. This position works under the direction of the assistant vice president for Alliance Missions and is responsible for providing and coordinating all administrative support for area of ministry executives. In the performance of these duties, this position will support the overall mission of the C&MA as described below.

Specific Duties

• Writes and enters minutes for workers into Minute Management System
• Issues credentials for International Workers (IWs) (including appointees) and retirees; tracks personnel on special assignment, issuing credentials, communicating with them, and requesting/receiving annual reports; sends IWs’ files to districts
• Completes checklist when recording deaths of IWs; writes obituaries utilizing information from the files for IWs; writes letters on behalf of the Assistant Vice President (AVP) which IM funeral representative then reads at funerals; submits minutes; sends flowers
• Oversees and updates IW child safety training records in Constituency Management System; keeps copies of signed Code of Conduct forms; works with AVP to produce yearly Child Safety Training materials
• Works with fields/teams to compile project requests for Great Commission Women’s yearly project; submits field requests for use of project monies; disburses funds at the end of the year
• Processes Benevolent Fund requests by analyzing what has been paid and determining eligibility within the guidelines for assistance
• Provides The Alliance Development Fund with sanitized quarterly reports for the creative access country’s fields/teams
• Responsible for AM’s Council event planning, working with Life Impact Ministries and the various AM offices to set up programs/events, including pre-Council
• Oversees the planning of retirement banquet including development of the program, writing the biographies, purchasing flowers, cards, and plaques
• Coordinates and process IWs’ Year of Service Awards
• Plans and purchases IW air travel for General Council
• Assists the AVP in the planning of Home Assignment Ministry; works with the International Placement Office in planning and implementing pre-Field Orientation
• Oversees the planning and logistics of the Member Care Committee, including scheduling, travel, lodging, and meals
• Serves as interface between fields/teams/IWs, helps with problems, answers questions, and addresses concerns
• Takes files to Archives regarding field closures or anything of historical nature
• Oversees the planning and logistics of the MK reentry seminar for the IWs children returning stateside for college/career, including scheduling, travel and registration
• Oversees the MissionTel phone program for IWs on HA, including coordination and scheduling use of phones
• Assists with biennial pre-General Council coordination and help with AM booth during Council
