About the role
Coordinates and manages office activities and workflow processes to ensure smooth efficient operations within the Division. Performs office management responsibilities for new Office of Institutional Effectiveness and Accreditation (OIEA) and works closely with and under supervision of the Executive Associate/Program Manager to support the administrative activities of the Office of the EVP & Provost. Performs administrative support duties and makes work-related decisions in accordance with existing policies and procedures.Daily Operations
- Manage daily operations of the new Office of Institutional Effectiveness and Accreditation (OIEA). Performs office management duties; prepares and disseminates reports; manages and prepares for various meetings – takes minutes, prepares agendas, file system for supporting documentation; interfaces with external entities; completes special projects as designated by the immediate supervisor and next level supervisor. Assist with program compliance reviews, survey creation, and continuous quality improvement scorecards and dashboards.
- Contribute and assist in developing administrative goals and priorities aligned with institutional strategic planning, to structure the new office in providing continuous quality improvement and accreditation maintenance support. Communicate, implement, interpret, revise policies and procedures as appropriate. Create and maintain filing systems. Data entry and utilization of various web-based systems. Assist with website review and updates.
- Responsible for maintaining AVP Institutional Effectiveness and Accreditation calendar and others as assigned. Initiate and follow up on travel requests, check requests, requisitions, orders, promotional materials, and purchases. Prepares and composes accreditation and special project reports, correspondence of a confidential and complex nature, letters, memoranda, and other documents. Assists with budget preparation and monitoring expenses
- Serve as the initial point of contact for phone inquiries, facilities, maintenance, and IT needs/requests for the Office of the EVP & Provost. Assist in planning and organizing division/office meetings, special events and activities. May perform some designated duties of immediate supervisor during periods of absence. Performs other related duties as assigned.
Required Skills
- Skills in analyzing a variety of data, detail and task oriented; ability to manage and perform a variety of routine and complex assignments.
- Ability to establish and evaluate effective working relationships with various levels of professional staff personnel.
- Excellent organizational and interpersonal skills and telephone etiquette.
- Ability to communicate effectively, both orally and in writing
- Ability to organize work effectively and efficiently; Skill in using independent judgment for routine situations
- Ability to independently compose correspondence, often confidential in nature, including letters, memos, presentations, and reports
- Must be able to handle confidential data
- Knowledge of accreditation administrative functions and related processes and procedures
Required Education and Experience
- Strong computer skills to include Microsoft Office and the ability to learn new software programs as needed in support of the role
