Student and Campus Life (SCL) at Cornell supports the personal, academic, and individual growth of students through a variety of services. The division consists of student affairs experts who address key aspects of student life, including health, wellness, public service, social justice, residential living, recreation, and student organizations. SCL serves approximately 25,000 undergraduate, graduate, and professional students across multiple U.S. and international campuses.
About Cornell Recreational Services
Cornell Recreational Services provides a range of fitness, wellness, sports, and recreational activities for students, staff, faculty, retirees, and their spouses/partners. The programs are designed to promote a healthy and holistic lifestyle across the campus community. Cornell Fitness Centers manage five fitness facilities and offer over 50 group fitness classes weekly, collaborating with various campus departments to support the university's fitness and wellness needs.
The Opportunity
The Administrative Assistant for the Cornell Fitness Centers offers key administrative support and serves as the main point of contact for all customers, including parents, alumni, students, and professional staff. This role primarily focuses on managing inquiries and communications related to CFC memberships.
Key Responsibilities
Office Coordination:
- Serve as the first point of contact for customers via phone, email, and in-person.
- Receive and disperse packages and deliveries related to CFC business.
- Process payments for copy orders, office supplies, and miscellaneous purchases.
- Assist members and customers with concerns and requests regarding memberships.
- Collaborate with campus partners to address operational challenges (e.g., Financial Aid, student employment).
- Provide administrative support to CFC professional staff, including submitting facility and IT tickets.
- Secure meeting rooms for various events.
Membership Support:
- Coordinate student membership sales and reset RecTrac accounts as needed.
- Order new membership forms each semester and prepare receipts for various purchases.
- Manage summer membership sales and serve as the primary contact for summer programs.
- Prepare daily sales receipts for deposit and maintain PCI compliance for the credit card machine.
- Process billing for qualified RA Membership sales in coordination with Residential Life and Housing.
Social Media Support:
- Assist with managing social media accounts and review posted content.
- Collaborate with staff to create social media posts.
Student Appointment Support:
- Serve as a Workday initiator for part-time student employees and provide backup hiring support.
- Act as the contact person for student employees regarding time clock and payroll inquiries.
- Track student employee appointments in Workday, including federal work-study and traditional appointments.
Other Responsibilities:
- Participate in projects and committees as needed, occasionally taking on work above or below the current classification.
What We Need

- High school diploma with 2-4 years of experience in an office setting, or an equivalent combination of education and experience.
- Familiarity with Microsoft Office Suite, record keeping, filing, and report writing.
- Experience in answering phones, managing public inquiries, and providing effective customer service.
- Strong computer skills, including proficiency in Excel, MS Word, database management, and various software programs.
- Payment handling experience, including managing revenue reports, transactions with credit cards and checks, and operating a credit card machine.
- Demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing.
- Experience working directly with individuals from diverse racial, ethnic, and socioeconomic backgrounds.
