PURPOSE STATEMENT

The primary focus of this role will be helping to ensure a positive experience for our candidates and new associates who will be joining Rich’s through executing a number of important talent-related activities. Primarily, this role owns the resolution of escalated (adjudicated) issues with the background checking process all of our new hires participate in prior to joining the company and ensuring that all ‘new hire documents” are completed in the system prior to the associate starting their first day at Rich’s.  

 

Additionally, this role will support governance tasks related to “My First Impressions” online curriculum and New Associate Experience center.  Additionally, this role will support any executive-level candidate travel and interview scheduling, in partnership with the recruiting team, as well as handle interview scheduling ‘escalations’ coming from our outsourcing partner (Genpact). Overall, this role is critical to ensuring a positive experience for our candidates and new associates, safety and compliance.

KEY ACCOUNTABILITIES/OUTCOMES

  • In partnership with both the Recruiting team (and in some cases the ESO), execute the timely scheduling of candidate interviews, assisting with the booking of any candidate travel required.  
    • This includes assisting the ESO with any interview scheduling they are handling that needs escalation/support.
  • Support background check process on prospective associates, primarily focusing on managing escalations that may occur and any adjudications required.   
  • Work with hiring leaders and candidates to ensure alignment on start date upon background check completion in cases when the ESO is unable to do so.
  • Support preboarding / onboarding process by helping to ensure timely completion of online paperwork and helping to address any challenges or new associate and manager inquiries, in partnership with the ESO. 
  • Ensure all relevant information on our new associates is accurate in the HRIS prior to their first day.
  • Execute the I-9 process for new associates.
  • Stay updated on relevant employment laws and regulations, ensuring all background check and onboarding practices comply.
  • Support Team Lead, TA & HR Field Ops with MFI program governance tasks such as updating the New Hire checklist, New Associate Experience Center content, troubleshooting issues with either, etc.  
  • Ensure the team is effectively partnering with site leadership to ensure the efficient and effective engagement of temporary labor at our manufacturing sites. 
  • Other duties as assigned.

KNOWLEDGE/SKILLS/EXPERIENCE

  • Ability to maintain strict confidentiality and handle sensitive information.
  • Ability to work effectively with our outsourcing partner
  • Strong communication and interpersonal skills, with a customer-focused approach
  • Exceptional organizational and time management skills with the ability to handle multiple tasks and deadlines.
  • Knowledge of background check process and laws preferred.
  • Expert with Microsoft Office Suite particularly Excel and Outlook.
  • Strong understanding of employment laws and regulations
  • Skilled at working in a fast-paced environment
  • Skilled at multi-tasking
  • 3+ years of experience in HR operations, background checks, and new associate onboarding (including I-9 verification), particularly in a high-volume setting.
  • Experience with temporary staffing, preferably in a manufacturing setting
  • Experience working in a manufacturing setting preferred
  • Experience using HR software and tools for background checks
  • Experience using an HRIS and Advanced server-based applicant tracking systems (ATS) (preferably experience using SAP Success Factors)
