Full-Time, Non-Union, Non-Exempt Position

$18.50 per hour, 35 hours per week

Monday through Friday, 8:00am-4:00pm

  

BASIC FUNCTION OF ADMINISTRATIVE COORDINATOR: 

General office duties including typing, answering client concerns & relaying program communications to the correct employees. 


RESPONSIBILITIES OF ADMINISTRATIVE COORDINATOR:

  • Manage communications with customers daily, your responsibility is to make sure clients are directed to the correct place.  
  • Answer telephones; take accurate information from callers; make appropriate referrals when necessary.
  • Completing end of day reports for our funders 
  • Type monthly menus and program correspondence/documents.(Newletters) Topics given to you by upper management
  • Assemble monthly donation letters to be mailed out using folding machine.
  • Maintain office security by following safety procedures and controlling access via the reception desk.
  • Keep the reception area tidy and presentable, with all necessary stationery and materials.
  • Handle customer inquires and complaints in a professional manner, remain calm and empathic.
  • Monitor office supplies and inform Director when orders need to be placed.
  • Organize & sort through Elder Services Mail and give to the proper person to file correctly. 
  • Copying, shredding, filing and other general office duties.
  • Assisting Data Coordinator & Community Coordinator with paperwork and client concerns as needed. 
  • Data entry into software systems.
  • Generate and transmit Congregate meal orders daily.
  • Assist clients with all inquires for senior dine and congregate services.
  • Assist community clients with Diaper Bank Applications and acknowledgements.
  • Compiling and distribution of weekly comment cards and temperature logs
  • Recording weekly congregate donations for deposit.
  • Compiling of surveys for various nutrition programs.
  • Assemble daily route sheets. Weekly scanning of route sheets.
  • Creating monthly calendars and newsletters.
  • Assembling monthly donation letters for various nutrition programs.
  • Call clients to inform starting date, driver name and to gather any information needed to assist driver with deliveries.
  • Assist with special administrative projects as assigned.
  • Accurate and timely daily input of new and updated client data for various nutrition service programs, including but not limited to, processing new referrals, processing payments for meal orders, maintaining accurate client records.

Requirements

REQUIREMENTS OF ADMINISTRATIVE COORDINATOR:

  

Education:

HS or GED


Experience:

  • Minimum 1 year experience in general office work. 
  • Bi-lingual Required (Spanish)
