Your Specific Responsibilities:


This position provides professional level administrative support to the TB Control Section. This position's work involves the performance of administrative activities, which involve independently planning administrative objectives and priorities to enhance team efficiency and to assist with the implementation of the FL System of TB Care. 

General Office Assistance: Answers phone and routes inquiries to appropriate staff within Section, Division or to appropriate county health department. Processes a variety of correspondence, investigates subject matter, and prepares replies. Opens, reviews, and screens mail, routing to appropriate staff. Assigns and monitors assignments made by Division or Bureau and ensures timely completion or requests appropriate extensions. Provides meeting or training support as requested, including supporting the preparations for the FDOH TB Nurse Case Management Course and ensures all TB presentations meet the DOH standards. Ensures all correspondence follows the DOH policies and procedures. Serve as CorrFlow liaison and track progress of documents until completion. Maintains mailing fist with addresses for TB managers/coordinators. Maintains TBCS staff directory and update as needed. Schedule and maintain staff and conference room/call calendars. 

Travel and Purchasing: Manages the travel request and reimbursement processes for the Section, including timely completion of the request to travel, making travel arrangements as requested and ensuring timely submission of reimbursement requests. 

Serves as the section liaison. Monitors completion of mandatory training by required due date; monitors completion of performance evaluations timely; records management timeframes. Research information as requested. 

Point of Contact: Serves as the Section's point of contact for Safety, Information Security/HIPAA and Continuity of Operations Planning (COOP). Serves as Section Everbridge backup. Attends meetings held by the bureau or division coordinator on these issues; ensures Section compliance with any related policies and procedures at the direction of the bureau or division coordinator; communicates updates to all staff and/or Section Administrator, as needed; completes any assessments (e.g. annual risk assessment) or compiles necessary contact information (COOP calling tree) timely; coordinates or assists supervisor and/or Section Administrator in completing incident reporting according to Department procedure. 

Assists with managing the TB Video Direct Observed Therapy (VDOT) program: track and ship phones; manage FedEx shipments and maintains a supply of mailing materials; maintain the VDOT Excel Tracker including the monitoring of phones in use and notifying DOH IT office of returned phones so accounts can be terminated. 

Performs other work-related duties as assigned. 

Required Knowledge, Skills, and Abilities:

•     Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing, or report writing. 
•     Ability to prepare correspondence and administrative reports. 
•     Skills in using Microsoft Office Products - Word, Excel, Outlook, PowerPoint; ability to utilize problem solving techniques.
