JOB DESCRIPTION AND POSITION REQUIREMENTS:

Penn State Human Resources is seeking a Human Resources Assistant to provide support for the HR Compliance team. This position will be primarily supporting HR Records Management efforts. 

The responsibilities of this position include but are not limited to: 

  • Prepare physical and digital files, including sorting, organizing, and categorizing documents as per established guidelines. 
  • Operate scanning equipment to digitize records, ensuring high-quality image capture and completeness. 
  • Accurately index and catalog records into an electronic document management system for streamlined retrieval and accessibility. 
  • Conduct quality control checks to verify the accuracy and integrity of digitized data and correct any discrepancies. 
  • Maintain and update records management systems, adhering to organizational policies and compliance requirements. 
  • Maintain confidentiality and safeguard sensitive information. 
  • Support audits or records reviews as required by regulatory or internal standards. 

Minimally requires High School Diploma or General Equivalency Diploma (GED), or an equivalent combination of education and experience. The successful candidate must demonstrate accuracy and attention to detail, professionalism, the ability to work independently, as well as part of a team; and a high degree of sensitivity in handling confidential information. Proficiency in Office365 suite is preferred. The successful candidate will also possess strong customer service and communication skills, both oral and written; the ability to effectively learn and utilize new technologies; and the ability to prioritize and multi-task.  

This position offers a flexible work arrangement that combines remote and on-campus work. Questions related to flexible work should be directed to the hiring manager during the interview process. 

This is a limited-term appointment funded for six months from date of hire with possibility of re-funding.
