Position Description,
Occupational Summary
Responsible for planning, coordination and administering program activities to promote the program objectives of the Center for Prostate and Urologic Cancers, reporting directly to the Administrative Director for DCI GU Oncology, in addition to taking direction from Center leadership to advance the strategic goals and impact of the Center.
Work Preformed
Program Coordination – 50% Effort
- Serve as Program Coordinator for DCI Center for Prostate and Urologic Cancer and the main point of contact for all programs and events managed by the Center Director.
- Plan, coordinate and organize monthly and quarterly Steering Committee meetings
- Coordinate with sponsors, advertising, reserving sites, caterers and inviting attendees.
- Plan and organize the yearly DCI Center for Prostate and Urologic Cancers Patient Symposium and Tackle Cancer Tailgate.
- Work with Center Director (Dr. Dan George) to develop, coordinate, and execute new ideas and concepts to grow center and align with DCI strategic plan and vision.
- Compile data and make recommendations to improve program’s effectiveness to community partners, members, patients, referral network sources and others.
- Liaison for annual Men’s Heath Initiative, by coordinating and participating in outreach events, event schedules, and follow-up activities.
- Coordinate and participate in all public relation activities, which include preparing brochures, bulletins, newsletters, and other promotional materials.
- Work with Center Director to prepare press releases, design ads and fliers.
- Independently identify the need for new databases and records, create as required. Maintain and update databases for outreach programs, membership, activities, and research.
- Handle all procurement to include Buy@duke.
- Identify and recommend changes to improve program effectiveness. Plan and implement approved changes.
- Identify and escalate complex issues to others as appropriate.
- And other work as assigned.
Finance – 30% Effort
- Oversee budget preparation for financial support for programs/meetings.
- Submit requests to sponsors (create budget, etc.)
- Monitor center cost object for sponsorship deposits and expenses to ensure expenses do not exceed budget
- Use SAP to track deposits, expenses, etc.
- Provide recommendations to improve financial performance and outlook
- Create and maintain financial records per institutional guidelines.
Administrative Support – 10% Effort
- Provide administrative training and support to staff in the DCI Center for Prostate and Urologic Cancers to support program objectives.
- Manage highly complex calendars and meeting schedules for assigned leaders. Partner with other support staff to ensure critical meetings are scheduled and program objectives are met.
- Coordinate and schedule interviews, events, and meetings.
- Assist with onboarding of all new hires to include staff and interns.
- Assist with the conduct of interviews.
- Record and maintain meeting minutes.
- Coordinate travel for assigned leaders and staff.
- Monitor and reconcile budgeted funds; provide reports as requested.
Administrative Supervision – 10% Effort
- Oversee admin support staff. Train staff on processes and procedures to serve as support for clerical duties for the program.
- Coordinate with division and HR on hiring, performance appraisals, promotions, etc. for admin support staff.
