JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a candidate for an Administrative Assistant- Senior Support in the Office of the Associate Dean for Educational Equity and the Sustainability Office in the College of Earth and Mineral Sciences (EMS).

This position provides primary support for all aspects of the Educational Equity office, working in collaboration with the Associate Dean for Educational Equity and the Coordinator of Multicultural Affairs to coordinate a variety of administrative and office operations such as handling the day-to-day duties of the office; acting as the liaison between the office and College program offices; maintaining records; coordinating events, programs, and meetings; compiling and analyzing data; composing and editing reports and presentations; managing calendars and schedules; greeting and providing assistance to visitors; and supervising any wage payroll or work study students.

For the Sustainability Office, this position will serve as the lead in representing EMS in the University's Sustainable Labs program and coordinating EMS Green Teams.  This position is responsible for demonstrating a strong commitment to inclusionary practices which support diversity, equity, inclusion, and belonging throughout all aspects of the position.

Primary duties include office management, reception, event and meeting planning, student support, administrative support, scheduling, coordinating communications, note taking, researching, and producing reports, and representing the offices in various committees and events.

The successful candidate will be responsible for the following:  

  • Provide leadership to the planning and facilitation of support activities for the offices.

  • Serve as the first point of contact with the offices and establish a welcoming and inclusive atmosphere.

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts.

  • Create and maintain files, databases, and reports, with meticulous precision.

  • Generate, prepare, and maintain reports and spreadsheets.

  • Compile and organize information to develop agendas, meeting materials, and reports and newsletters.

  • Arrange meetings; organize workshops, lead coordination and planning of special events, conferences, and other functions.

  • Support the planning and coordination of moderately complex projects.
