ABOUT THE DEPARTMENT OF HUMAN SERVICE PROGRAMS:

The Department of Human Service Programs (DHSP) creates and coordinates services that enhance the quality of life for Cambridge residents. Driven by the needs of residents, DHSP’s extensive services and programs touch almost every sector in the city: from newborns to senior citizens, from school-aged children to homeless families, from non-profit organizations to local employers.

 

ABOUT THE ROLE:

 Reporting to the Executive Director and Deputy Director for the Cambridge Commission for Persons with Disabilities (CCPD), the Administrative Assistant will provide administrative support for CCPD.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Fiscal Tasks:

  • Track and log expenses
  • Process invoices and fiscal paperwork in a timely manner

Coordination of Monthly CCPD Advisory Board Meetings:

  • Take detailed minutes at monthly CCPD meetings, typically held on the 2nd Thursday of each month from 5:30-7:00 PM
  • Prepare, format, and circulate monthly CCPD meeting agenda packets
  • Communicate as requested with Advisory Board members, including sending Outlook invitations for meetings and tracking RSVPs

Outreach:

  • Help staff CCPD informational tables at occasional evening and weekend events
  • Draft content for various communication channels and assist with the development of outreach materials such as flyers and fact sheets

Constituent Services:

  • Provide information and referral to constituents who walk-in, call, and email with requests for assistance on disability-related topics

Other Administrative Duties:

  • Assist Deputy Director in coordinating CART (communication access realtime translation) & ASL (American Sign Language) scheduling and invoicing as requested for City meetings and events
  • Maintain log of services provided for reporting outcomes and for constituent follow-up
  • Maintain electronic files

MINIMUM REQUIREMENTS:

Experience and Education

  • Relevant experience working in an administrative role
  • Experience working with diverse populations

Knowledge, Skills, and Abilities

  • Familiarity with disability issues and culture
  • Strong organizational and interpersonal skills
  • Strong working knowledge of Microsoft Office Suite, including Word, Outlook, Excel, PowerPoint, and Teams

PREFERRED QUALIFICATIONS:

  • Knowledge of local disability-related organizations and resources
