The Device Assembly Facility (DAF) is seeking a Business Assistant to support the facility in ongoing missions.
Key Responsibilities
- Direct support of Nuclear Operations Manager’s and Facility management in performing various administrative, clerical, and/or operations support duties and responsibilities including the control, update, and distribution Interoffice Memorandums, Facility Access Lists, Shift Turnover and other administrative documentation.
- Perform administrative duties to aid in various phases of daily activities, such as composing correspondence, gathering/analyzing data for reports, and coordinating project or department activities and requirements with appropriate support groups.
- Assist in scheduling and attending meetings as required by facility management to record minutes and collect information for after action/lessons learned.
- Perform data entry using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports. Enter data and produce reports using other standard office automation or department-specific computer applications.
- Assemble information, such as status reports, for supervisor and other department or project personnel as requested.
- Exchange information with others as directed to aid in the various phases of daily organizational unit activities, such as composing routine correspondence and gathering data for reports.
- Extract data and assemble routine information, make routine calculations as directed and perform routine mathematical computations for various reports.
- Prepare paperwork and help coordinate services for department activities.
- Develop understanding of policies and procedures relevant to area of responsibility. Make recommendations for work process improvements, procedures, and practices.
- Ensure DAF Operations remain updated and aware of department bulletins.
- Maintain appropriate levels of and field requests for additional department supplies.
- Maintain and track personnel-related information, including maintaining DAF Operations training and qualifications through scheduling and coordination with other work groups.
- Assist with operational planning activities and preparation of presentation materials.
- Serve as an Emergency Action Team (EAT) member.
- Perform other tasks as assigned by the Facility Manager.
- High School diploma or equivalent.
- Able to use personal computer, printers, copiers, telephones, fax machines, calculators, and other general office equipment.
- Able to follow oral and written instruction and follow through on all assignments.
- Able to understand policies and procedures to perform assignments and use some creativity and initiative.
- Able to plan/organize work to complete assignments in the most efficient manner and meet required deadlines.
- Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.
- Knowledge of basic math, grammar, spelling, and punctuation.
- Experience with Microsoft Office Suite of applications.
- Experience working in schedule-driven environments.
- Must possess necessary emotional intelligence and interpersonal skills to promote an environment for open communications, develop mutual trust and teamwork, and facilitate employee self-development.
