Position Overview

The Illinois Department of Corrections is looking to hire a highly organized and detail-oriented individual to work as the Administrative Assistant II at the Marion office in the Intelligence and Investigation's Unit. This position performs highly confidential and sensitive administrative tasks for a diverse agency. This position serves as a high-level staff assistant to the Chief of Investigations & Intelligence. The Investigations & Intelligence Unit is looking for a self-starter who will liaison with the Chief of Investigations, collaborating with other Agency locations, conduct special projects, and maintain confidential information. A background in intelligence and or investigations is a plus for our ideal candidate. Job Responsibilities

1. Serves as a high-level staff assistant to the Chief of Investigations & Intelligence, with complete access to all department documents, such as facility, staff and individual in custody records.

2. Functions as management liaison for the Chief of Investigations & Intelligence, with department staff involved in the operations and activities of the Division.

3. Collaborates with the Agency Labor Relations Manager.

4. Plans, develops, and organizes special projects, research, and studies relating to highly sensitive, confidential, and controversial intelligence and investigations which directly impact the credibility of the Agency.

5. Maintains confidential intelligence files for all IDOC employees and individuals in custody.

6. Reviews and responds to sensitive and confidential mail and calls.

7. Represents the Investigations & Intelligence Unit in responding to inquiries at meetings and personal contact made through the Unit.

8. Organizes, monitors, and maintains a filing system of Orders of Protection served by IDOC.

9. Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

1. Requires knowledge, skill, and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration.

2. Requires two (2) years of professional experience in a public or private organization.

Preferred Qualifications

1. Prefers at least four (4) years of experience working with and maintaining confidential information.

2. Prefers at least four (4) years of experience analyzing information critical to investigations and compiling briefings for management’s assessment.

3. Prefers at least three (3) years of experience effectively interacting with high level personnel at local, state, and federal agencies.

4. Prefers at least three (3) years of experience interpreting and explaining laws, Departmental Rules, Administrative Directives, methods, policies, and procedures.

5. Prefers at least three (3) years of experience addressing labor agreement policies, practices, and violations.

6. Prefer at least two (2) years of experience researching and completing special projects and following up on corrective action plans.

7. Prefers at least one (1) year of experience responding professionally to internal and external inquiries.

8. Prefers at least one (1) year of experience organizing, monitoring, and maintaining an effectual filing system.
