Description
I. INTRODUCTION
A. This position is located within Raleigh Radiology facilities, free-standing outpatient imaging centers located in Wake County, N.C, and surrounding areas.
B. The primary function of a Medical Records Clerk is to maintain standards of professional care and patient confidentiality.
C. Medical Records Clerk is well versed in requirements for maintaining and abiding by HIPAA guidelines.
D. This position reports to the Clerical Supervisor.
E. Work Hours: Monday-Friday/8:30 am-5:00 pm
II. MAJOR DUTIES AND RESPONSIBILITIES
A. General Duties
1. Maintains standards of professional care and maintains patient confidentiality.
2. Implements policies and procedures of Raleigh Radiology.
3. Establish and maintain open communication.
4. Maintains a clean, safe, and well-maintained supplied environment for patients and staff.
5. On a regular, sustained basis, cooperates with other staff members both inside and outside the department in accomplishment of own job duties as well as assisting others in accomplishing theirs; serves as a team player and role model for other employees in the organization, always exhibiting traits of courtesy, caring, helpfulness, and respect; conducts oneself in a service-oriented manner that is attentive, pleasant, cooperative, empathetic, respectful and kind with dealing with team members, visitors, public and all employees.
6. Works closely with patients, families, visitors, and staff to identify needs, answer questions, resolve problems, or provide other information.
7. Answering and triaging incoming phone calls to get the most appropriate personnel or department.
8. Demonstrates competency in the performance of job-related skills appropriate to customer population and departmental services.
9. Demonstrates the ability to handle inbound phone calls from referring physicians, outside radiologic facilities, and patients and oblige requests with professionalism while abiding by HIPAA guidelines.
10. Review medical records for accuracy and completeness.
11. Proficient with Microsoft Office.
12. Assisting with Physicians' requests.
13. Responsible for uploading requests, attaching them to patient charts, and leaving notes where applicable. Responsible for requesting medical records, and DICOM images from outside radiologic facilities using ROI forms.
14. Responsible for uploading images and reports for comparison for all modalities.
15. Communicate with internal and external healthcare providers on the availability or unavailability of patient records.
16. Responsible for specific and preferential delivery of patient images per referring physician’s profiles in EIS.
17. Burning DICOM images on CD/DVD via the use of MACH7 VNA.
18. Communicates with courier as a means to oblige the referring physician requests for CDs and delivery of inner office supplies.
A. Safety/Infection Control 15%
1. Adheres to safety/infection control policies and procedures.
2. Reports unsafe work areas and assures follow-up.
3. Assess patients and plans appropriately for safety/infection control.
4. Assures that all equipment necessary for the provision of care is readily available and in working order.
5. Reports incidents and unusual occurrences according to department policies.
6. Wear protective aprons, eyewear, masks, gloves, and radiation monitoring devices, as required for each procedure.
B. Other Duties 5%
1. Maintains the strictest confidentiality of all facility and facility related employee/patient information.
2. Performs other duties as assigned.
Requirements
I. EDUCATION, EXPERIENCE, CERTIFICATION, LICENSURE
A. Education: High School graduate with 1-year experience in a healthcare environment, associate degree a plus.
B. Experience: 6 months of healthcare industry experience, doctor’s office, insurance provider.
C. Certification: None
D. Licensure: None
II. DESIRED SKILLS
Ability to type 45 words per minute. Able to learn other all applicable software programs as needed. Able to work independently, detail-oriented, and ability to follow directions. Bilingual is a plus. Flexibility, dependability, and professionalism are required.
