Position Summary:
The Executive Assistant, Strategy & Communications provides high-level administrative support to the Executive Vice President of Strategy & Market Development and the Vice President of Medical Affairs, while also offering broader support to the global Strategy & Communications team. This role is vital in ensuring the smooth functioning of executive operations through proactive coordination, communication, and organizational excellence.
We are seeking a highly experienced, confident, and tech-savvy professional who thrives in a fast-paced environment, demonstrates sound judgment, maintains confidentiality, and brings a proactive and polished presence to all internal and external interactions.
- Proactively manage complex calendars, prioritize meetings, resolve scheduling conflicts, and ensure appropriate time allocation for strategic priorities.
- Coordinate domestic and international travel logistics, including flights, accommodations, visas, and on-the-ground transportation, while ensuring full compliance with company travel and expense (T&E) policies.
- Prepare, process, and track expense reports with precision and timeliness, maintaining awareness of Sunshine Act implications and company reporting standards.
- Support internal communications initiatives, including preparing executive messages, drafting content for internal channels, and helping coordinate internal events in collaboration with the communications team.
- Develop and maintain organized systems for team documents, workflows, and knowledge-sharing tools (e.g., SharePoint, MS Teams).
- Serve as a point of contact for internal and external stakeholders, exhibiting professionalism, discretion, and strong communication skills.
- Coordinate and support team-wide projects, team meetings, offsites, and events, including compiling agendas, producing meeting materials, capturing action items, and following up.
- Manage administrative processes such as organizational charts, department procedures, meeting logistics, and onboarding support for new team members.
- Proactively identify opportunities to improve administrative processes, increase efficiency, and support team success.
- Participate in the Executive Assistant Committee and attend monthly in-person meetings.
- Provide coverage at the reception desk during lunch breaks one day per week.
- Minimum of 8 years of progressive experience as an executive assistant or in a senior-level administrative role, with direct support to C-suite or senior executives—preferably in a global, matrixed healthcare or medical device environment.
- Proven ability to operate with high discretion and handle confidential or sensitive information appropriately.
- Exceptional verbal and written communication skills, with experience drafting executive-level correspondence and internal messaging.
- Strong time management, prioritization, and organizational skills; able to manage multiple priorities and tight deadlines effectively.
- Demonstrated capability to work independently with minimal direction and exercise sound judgment in a dynamic environment.
- Comfortable with ambiguity and adaptable to changing priorities.
- Experience supporting global teams and working across multiple time zones.
- Demonstrated ability to foster collaboration, act as a team player, and maintain a positive, solution-oriented mindset.
