As a Group Admin on the IDEAS team, your day will be a blend of proactive coordination and responsive support. You’ll start by reviewing calendar requests and ensuring meeting spaces—both virtual and physical—are ready to go. You’ll greet new hires and vendors, making sure their onboarding experience is smooth and welcoming. Throughout the day, you’ll liaise with other admins and stakeholders to keep operations running efficiently, manage supply inventories, and troubleshoot logistics for team events or workspace changes. Your presence onsite will be key to maintaining a vibrant and inclusive team culture.

Responsibilities
Onsite Support:
- Provide in-person assistance for team experience activities, workspace logistics, and supply management.
Calendar & Meeting Logistics:
- Assist with calendar management for community spaces and team events.
- Support meeting setup including room bookings, virtual troubleshooting, and catering.
- Growth Opportunity: This role offers may offer a chance to support the calendar of a Partner Director as a development project, providing exposure to executive-level operations and strategic scheduling.
Team Experience & Onboarding:
- Help onboard new employees, vendors, and interns (e.g., equipment orders, workstation setup, distribution lists).
- Support team experience activities and provide onsite assistance as needed.
- Cross-Functional Collaboration.
- Build and maintain effective working relationships across multiple levels within Microsoft.
- Collaborate with internal stakeholders and fellow admins to support daily operations and team initiatives.
- Resource & Space Management.
- Proactively manage supply inventories (e.g., office supplies, snacks, hardware).
- Assist with team space move logistics and workspace planning.
- Financial & Travel Support.
- Learn discretionary budgeting and company finance policies.
- Shadow travel planning processes and tools.
- Culture & Inclusion.
- Create an inclusive culture and work environment for the team.
- Participate in the Business Support community through networking events and training.

Qualifications
Required Qualifications:
- High School Diploma, General Educational Development (GED), or equivalent AND 6 months Administrative, Business Support, and/or customer service experience.
- 1+ year(s) administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- Associate's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- Strong organizational and communication skills.
- Ability to prioritize work, make decisions with limited information, and adapt in a fast-paced environment.
