Starting Pay: $40,000.00
As an Administrative Assistant for Pratt Industries – Houston, you will be a vital support for our administrative, accounting, and customer service functions. You'll serve as a primary point of contact for visitors and callers, manage various financial tasks, and assist in ensuring customer satisfaction through accurate order processing and diligent record-keeping. Your ability to efficiently handle diverse responsibilities will be crucial to our daily operations.

What You’ll Give:
- Manage Administrative tasks including answering calls, greeting visitors, handling mail, and maintaining sign-in/out records
- Process purchase orders and invoices using SAP, including data entry, scanning, and filing for both maintenance/freight and non-corrugated/tooling
- Support accounting operations by assisting with collections, daily tape changes, cash applications, and providing backup for billing and reports
- Provide customer service support by running reports, entering releases, checking orders for accuracy, and managing tooling orders
- Maintain essential records and supplies, performing filing, scanning, copying, and ordering office supplies as needed.
Primary Duties and Responsibilities
- Answer incoming calls and greet visitors/VIPs.
- Mail invoices and distribute incoming mail.
- Scan invoices for payment to customers and make collection calls when necessary.
- File invoices, payables, and customer service documents.
- Change daily tapes for accounting systems.
- Review Bills of Lading (BOLs) and sales orders for processing.
- Email invoices to customers and assist with billing.
- Backup on billing, daily reports (KPIs), and weekly reports.
- Assist with SBD cash applications.
- Order office supplies.
- Run bookings reports and enter releases for customer service.
- Receive BOLs and check customer orders for pricing, quantity, dates, and machine details.
- Laminate and receive tooling orders.
- Perform any required data entry to support the Controller and Customer Service team.
**Additional duties as assigned by management.**
What You’ll Need to be Successful
- Education: High school diploma or equivalent
- Experience: Experience in a manufacturing environment (preferred)
- Language Skills: Strong communication skills.
- Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, and volume. Job-related math skills.
- Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to make sound judgments.
- Technical Skills:
- Application knowledge of computer data entry.
- Application knowledge of products and production processes.
- Proficient in Word and Excel.
- Basic knowledge of corrugated manufacturing processes or willingness to learn.
