About the role

Stoel Rives LLP has an immediate opening for a Case Assistant in our Portland office. Case Assistants provide support on a variety of billable projects or tasks for all practice groups.  Individuals hired are required to perform any or all listed essential job functions depending upon the work requirements of the day.  Case Assistants report to the Project Services Supervisor.         

ESSENTIAL FUNCTIONS/RESPONSIBILITIES

Document Assembly/Organization

Representative tasks include photocopying, organizing, binding, number-stamping, and boxing documents for delivery; locating specific documents, prepare index, and review documents for closings, storage, and destruction; maintain index of location of documents. Case Assistants organize information and aid paralegals and attorneys by producing accurate, timely, complete, and thorough work product.

­Computer-Based Projects

Representative tasks include creating, designing, and maintaining spreadsheets to track various types of information; creating and updating indices; and creating exhibits using graphics, including, but not limited to, timelines, floor plans, and flow charts.

Messenger/Delivery Assignments

Representative tasks include delivering and obtaining documents within and outside of the office, filing documents in various courts, obtaining signatures and notarizing documents within and outside of the office, and locating persons for process service.

Paralegal Work Overflow

Representative tasks include document review within office, at client office, or at opposing counsel’s office; summarizing depositions; assisting with management of document-intensive cases; interacting with government agencies to obtain information; conducting legal and non-legal research and summarizing findings by memorandum or report; attending both in-town and out-of-town trials; and assisting with closings and other large transaction matters as assigned.

­Automated Litigation Support (if applicable)

Representative tasks include data entry, document analysis, quality control of case databases, and printing out data in an organized format.

­Timekeeping/Time Sheets

Responsible for entering time daily, adhering to timekeeping rules, and turning in a time sheet to Project Services Supervisor twice per month.

Teamwork

Prioritize work, handle sensitive information, and maintain requisite interaction with clients, attorneys, paralegals, and other staff.

ESSENTIAL CAPABILITIES

Must possess strong written and verbal communication skills; good judgment; the ability to learn quickly; excellent organizational skills and the ability to handle multiple priorities in a changing environment; a focus on service and follow-up on all assignments with in-house clients; attention to detail and the ability to produce high-quality work product; flexibility and the ability to adapt to change and learn new programs and procedures; high tolerance for stress, rush, and/or last-minute deadlines; the initiative to problem-solve and be resourceful in seeking out solutions and information; and the ability to share responsibility, to work as part of a team on a variety of tasks, both complex and routine, and to work without direct supervision in a fast‑paced setting in which there are rapid changes in daily work schedules.

Technical Knowledge

Must be able to type a minimum of 40 wpm with minimal errors.  Must be proficient with Microsoft software; experience with Excel and PowerPoint is beneficial.  Must be capable of learning (and may be required to have working knowledge of) on‑line research programs such as Westlaw and Lexis.  Must be familiar with operation of office equipment, including personal computer, printer, photocopier, and telephone.

Physical and Mental Capabilities

Must be capable of standing for long periods of time to photocopy documents.  Must be capable of sitting for extended periods of time to enter data at computer terminal, coding 25 documents per hour.  Must possess the ability to bend and reach for, lift, place, and carry boxes containing files, reams of paper, computer equipment, or supplies daily and to move boxes of heavy files or file cabinets using a hand truck.  Must be capable of reading information in printed, handwritten, or computer form many times daily; interpreting and understanding instructions; and interpreting and understanding legal correspondence, memoranda, forms, documents, and reference materials.  May be required to possess valid driver’s license, have a good driving record, and drive personal or firm vehicle to accomplish work assignments.  Must be capable of delivering and obtainin
