The Senior Manager of E-Billing will oversee all aspects of billing and collections for e-billing clients. They will proactively monitor status of electronic bills to quickly identify and resolve issues. They will collaborate with the Rate Operations Team to ensure proper rate sets for client matters, monitor rate expiration dates, handle annual rate increase submissions, and manage e-billing information in the firm’s time and billing system. Additionally, they will monitor e-billing daily, provide guidance to billers, maintain compliance with client-specific requirements, and generate financial reports related to e-billing. The role will be responsible for monitoring any e-billing related issues and driving those issues to resolution, including responding to client inquiries.

What You Will Do:

  • Oversee the client rate setup and submissions within the e-billing portals. Ensure timely and accurate submission of electronic invoices to clients.

  • Collaborate closely with the Rate Operations Team to ensure proper rate sets are applied to client/matters.

  • Lead the annual rate increase submissions to the clients’ vendor sites and handle monthly submissions of new e-billing timekeepers.

  • Maintain the e-billing vendor sites to ensure accurate and up-to-date data, while also managing e-billing information in the firm’s time and billing system.

  • Monitor e-billing daily for new invoices, rejections, and assist with appeals.

  • Provide guidance to billers on e-billing submissions and offer e-billing training as needed.

  • Maintain an internal database of e-billed clients and their compliance requirements.  Ensure compliance with client-specific e-billing requirements.

  • Promptly and proactively resolve issues that arise during and after the invoice submission process.

  • Serve as primary point of contact for clients regarding e-billing issues and inquiries. Respond promptly and accurately to client inquiries related to e-billing and payments.

  • Perform detailed review of existing e-billing processes.  Identify opportunities to implement streamlined and standardized processes to enhance efficiency and reduce errors. Update reference materials for all aspects of the e-billing process as necessary.

  • Implement and maintain e-billing software and tools, ensuring they appropriately meet the needs of the firm.

  • Generate and analyze e-billing reports to identify trends and problem areas that require resolution.

  • Lead continuous improvement initiatives by actively participating in projects and working to enhance business efficiency.

  • Perform additional tasks as needed.

Who You Are:

  • Minimum of 10-12 years of legal billing/e-billing experience.

  • Previous experience with Aderant & Billblast preferred.

  • Proficiency in utilizing various vendor websites and the BillBlast system for electronic billing.

  • Self-motivated, detail-oriented, highly organized, and reliable, with the ability to multitask effectively both independently and within a team.

  • Ability to lead and manage a geographically dispersed team.

  • Strong customer service orientation.

  • Strong prioritization skills and willingness to take initiative.

  • Ability to identify issues and oversee resourceful solutions.

  • Exercise proper judgment in decision-making.

  • Openness to learning and developing new skills.

  • Hybrid 3 days a week in the office

  • Up to 25% travel
