The Business Operations Analyst aids in the overall administration of the College of Arts & Sciences (CAS) and is responsible for ensuring that all financial transactions flowing through the College’s financial approval processes are in compliance with promulgated University policies and business processes, have available funding and are accurately recorded to ensure meaningful financial reporting for CAS stakeholders. This position will provide operational and financial support to academic departments (faculty and staff) with active institutional research funds and Graduate/PhD Programs, by serving in the GMS Financials roles of preparer and financial reviewer. Participating in analysis and problem resolution involving financial, administrative, and policy matters affecting CAS, additional duties include but are not limited to:
Serve as a resource regarding interpretation and communication of University, Main Campus, and Georgetown College policies and procedures, and as such requires a current and in-depth knowledge of those policies.
Provide exceptional service to assigned departments by accurately anticipating and/or identifying needs, troubleshooting and escalating issues, and executing effective resolutions in a timely manner and in compliance with promulgated policies.
Review, initiate or request transactions by coordinating with proper teams for College financial transactions in GMS.
Initiate and execute contracts and purchase orders by working directly with the Procurement Analyst for assigned areas.
Initiate accounting journals by working with the accounting team, based on data provided by department administrators, ensuring accuracy and compliance with promulgated policies.
Assist with the resolution of variances between orders and goods/services received, corresponding with the Procurement Office, Accounts Payable, and vendors as needed.
Initiate travel reimbursements, supplier payments, or other financial transactions as needed.
Participate in the training of new department administrators, as well as trainings for all department administrators and/or other employees of Georgetown College.
Review assigned funding sources for faculty and departments, specifically graduate program funding, internal funds and gifts, providing updates to stakeholders and identifying issues requiring corrective action.
Work Interactions
The Business Operations Analyst reports directly to the Associate Director for Finance & Operations. This position interacts with many University departments, requiring excellent customer service skills and the ability to work with a wide range of constituents. These constituents include: department chairs and administrators in 26 academic departments and 10+ interdisciplinary programs, Main Campus Finance Office (MCFO), Joint Office of Research Administration (JORA), Accounts Payable, Payroll Services, General Accounting, Advancement, and University Financial Affairs. The Business Operations Analyst will interact with various stakeholders from CAS academic departments and programs on a daily basis via phone, email, and/or instant messaging.
Requirements and Qualifications
Bachelor’s degree
2-3 years of financial and/or administrative experience
Proficiency in Microsoft Office suite, or equivalent (ex. Google Apps), with a mastery of Excel (ex. vlookups, pivot tables, etc.)
Familiarity with managing large volumes of data and database queries
Strong orientation to details with excellent customer service skills
Excellent written and verbal communication skills
Ability to interpret and apply University, campus, and school policies and procedures within complex and diverse organization
Ability to manage multiple projects simultaneously and meet time-sens
