Position Summary:

Geospace Technologies Corporation is seeking a proactive, detail-oriented, and highly organized Executive Administrative & Travel Operations Coordinator to provide dedicated support to our CEO, CFO and Senior Vice President of Sales & Marketing. This self-starting professional will play a dual role: delivering high-level administrative assistance and managing all corporate travel operations

This critical role will ensure seamless scheduling, logistics, communication, and cost-efficient travel execution for the entire company. The ideal candidate thrives in a fast-paced environment, handles confidential information with discretion, and is comfortable making independent decisions.

Key Responsibilities:

Administrative Support (65%)

  • Provide executive-level administrative support for three members of the executive team
  • Manage calendars, schedule meetings, and coordinate internal and external communications.
  • Prepare reports, presentations, and correspondence as needed.
  • Maintain organized records and documentation across departments.
  • Coordinate logistics for meetings, offsite events, and client-facing engagements.

Corporate Travel Management (35%)

  • Serve as the sole point of contact for all company travel and lodging.
  • Book flights, hotels, ground transportation, and create detailed itineraries for all employees.
  • Monitor travel budgets and ensure adherence to company travel policies.
  • Develop and maintain partnerships with airlines, hotel chains, and rental car companies to secure discounted rates and preferred vendor agreements.
  • Track travel trends, identify cost-saving opportunities, and implement process improvements.
  • Analyze and consolidate company-wide travel spend as needed for budgeting and financial reporting 
  • Other duties as assigned.

Qualifications

  • Minimum 3-5 years of administrative experience, preferably supporting executive-level staff.
  • Discretion and professionalism when handling confidential information.
  • Excellent verbal and written communication skills.
  • Strong organizational and problem-solving skills.
  • High attention to detail and accuracy.
  • Prior experience in corporate travel coordination or procurement highly preferred.
  • Proven ability to work independently, prioritize multiple tasks, and meet deadlines.
  • Experience with travel platforms, expense management tools, and Microsoft Office Suite.

Preferred Qualifications:

  • Background in finance, operations, or executive support in a high-growth or midsize organization.
  • Familiarity with corporate travel platforms (e.g., Concur, SAP Travel, TripActions).
  • Negotiation experience with vendors (airlines, hotels, car rental companies).
  • Bachelor’s degree or a combination of education and relevant experience preferred.
