Description
St. Croix Health is looking for a full-time (1.0 FTE) Administrative Assistant. This position will directly support the Chief Nursing Officer and Director of Clinical Services along with their teams.Job Summary:
This position is responsible for providing administrative support to the leadership team, medical staff officers, and related business entities as needed.
Essential Duties and Responsibilities:
1. Provide administrative support to the leadership team.
- Coordinate activities and remain an information resource for the leadership team.
- Review operating practices and procedures to determine where improvements can be made regarding workflow, processes and procedures or expenditures.
- Perform general office duties, such as answer phone calls; open, sort and distribute incoming correspondence, including faxes and email; and order supplies.
- Prepare, reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.
2. Serves as secretary for the medical staff and related business units as needed.
- Serve as recording secretary for the medical staff, its subcommittees and other related business units within the organization, as assigned.
- Prepare and organize meeting schedules, notices, agendas and materials for the medical staff meetings and related business units.
- Work closely with the chief of staff, vice president of medical affairs and committee chairpersons to prepare agendas and other meeting preparations.
- Maintain corporate documents and other critical records in organized safekeeping so as to provide prompt access.
- Assist in coordination of provider recruitment site visits and onboarding of new physicians to include coordination of schedules, travel, lodging, and other events, as needed.
- Submit physician expense reports and continuing medical education reimbursement requests in an accurate and timely manner consistent with St. Croix Health policies and procedures.
3. Other duties as assigned.
- Support other administrative assistants and Directors with scheduling of meetings and other special projects and clerical duties as assigned.
Requirements
Education & Licensure:
- High School Graduate
- Associate’s Degree in related field, Bachelor’s degree strongly preferred.
Experience:
- 3-5 years of experience in a similar role
Knowledge, Skills & Abilities:
- Excellent communication and listening skills
- Strong attention to detail
- Ability to maintain strict confidentiality
- Proficient in Microsoft Office Suite
- Excellent interpersonal and customer service skills
- Demonstrated ability to work independently with little direction and manage multiple demands and priorities
- Strong calendar management skills
PHYSICAL REQUIREMENTS:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
