Purpose
Responsible for coordinating and administering human resources support for the Department of Biomedical Engineering, including coordinating and processing high volumes of student appointments, processing tuition and scholarship payments, coordinating visas, and managing appointments for research staff. Act as departmental liaison to Dean's Office, Payroll Office, Human Resources, or other University offices. Ensures department is in compliance with relevant university policies and that work is completed by required deadlines.
Responsibilities
Coordinate and process appointments for all student employees, research staff, and unpaid visiting researchers, ensuring accuracy and adherence to university payroll deadlines.
Process scholarship and tuition payments for graduate students, including tuition vouchers and international fees.
Work with faculty and departmental administrative staff to coordinate visas for international employees and visiting researchers. Work closely with the university’s Texas Global department to ensure the correct steps are taken so that visas are received in a timely manner.
Coordinates new employee onboarding, including processing background checks, completing I-9s, providing important employment information to employees, and addressing basic questions about benefits. Monitors onboarding activity to ensure all necessary actions are taken.
Review employee timesheets to ensure compliance with timekeeping rules. Serve as departmental expert in timekeeping and address questions from employees. Monitor staff timesheets on a monthly basis and send reminders as appropriate. Process leave balance payouts as required by university policy.
Other related functions as assigned.
Required Qualifications
Bachelor's degree and two years of experience managing human resource functions.
Working knowledge of foundational concepts of human resource management.
Excellent communication skills, both written and verbal.
Excellent interpersonal skills and professional demeanor.
Demonstrated ability to pay attention to detail and follow through.
Demonstrated ability to work successfully under pressure of conflicting deadlines in a dynamic work environment.
Proficiency with Microsoft Office applications (Word, Excel, PowerPoint).
Preferred Qualifications
More than the required amount of experience.
Experience working in a higher education environment.
Experience working in a research environment.
Familiarity with UT Austin policies and procedures, particularly those related to HR or student employment.
Experience using Workday, DEFINE, NRRECS, EASI and/or GSIS.
Salary Range
$55,000+ depending on qualifications
