About the role

Position summary:

The purpose of this position is to provide extensive clerical and secretarial support to the administrators and instructional faculty at the East Texas Police Academy.

Position responsibilities:

  • Create and maintain course and student records that fulfill the Kilgore College record keeping requirements;
  • Assist in maintaining student and course records in accordance with the Texas Commission on Law Enforcement auditing requirements;
  • Assist in the registration of students for all licensing courses, in-service courses, and remote delivery courses.
  • Be cross-trained and able to fill in as required for the Deputy Director of Administration as the custodian of records for all records required by the Texas Commission on Law Enforcement;
  • Provide administrative and clerical support for the administrators and instructors of the police academy;
  • Frequently monitor and promptly respond to emails sent to the ETPA general email inbox;
  • Promptly answer incoming calls to the ETPA main phone line, to include returning all phone messages, and assist with walk-in inquiries;
  • Effectively and professionally interact with law enforcement officers and administrators regarding scheduling, record keeping, course information and general inquiries;
  • Effectively and professionally interact with other departments at Kilgore College to coordinate office procedures and resolve issues that arise;
  • Serve as a secondary test proctor for Texas Commission on Law Enforcement licensing examinations, as needed;
  • Process and manage all ETPA requisitions, working together with Kilgore College;
  • Responsible for all supply ordering related to the East Texas Police Academy;
  • Be available to attend occasional weekday and weekend job fairs and recruiting events as a police academy representative;
  • Any other duties as assigned by the Police Academy Deputy Director of Administration or Kilgore College.

Minimum Position Requirements:

  • Minimum of three years’ experience in a professional office environment;
  • Previous experience working in an educational institution is desirable, but not required;
  • Certificate or Associate’s degree preferred;
  • Strong written and verbal communications skills;
  • A commitment to providing quality customer service and radical hospitality in a dynamic and occasionally stressful environment;
  • Strong attention to detail and organization practices;
  • Ability to work under minimal supervision;
  • Required to have an understanding of basic computer skills;
  • Ability to discretely and securely handle confidential or otherwise restricted-access records and information;
  • Ability to occasionally lift and transport office and instructional supplies weighing up to 20-pounds;
  • Must possess a clear and valid driver’s license and be eligible for coverage under Kilgore College’s insurance policy to drive college owned vehicles

Physical Demands and Work Environment:
  • Work is normally performed in a typical interior/office and classroom environment.
  • No or very limited physical effort required; however, the employee must occasionally lift and/or move up to 20 pounds.
