Description

The YMCA of Orange County is searching for an Administrative Assistant 2 that would support the Child and Youth Development programs in North Orange County.    Responsibilities/Duties: • Be a culture ambassador through your daily decisions and interactions. • Responsible for providing support to the Childcare Executive Directors. • Perform administrative duties that include: data entry, emailing, filing, copying, processing EFT, cash transactions, and AC tracking and reports. • Ensure that phones are answered and messages are communicated. • Ensure compliance to established procedures, policies, safety standards, and housekeeping standards. • Interface with staff, members, parents, and children. • Ensure that proper registration and cash handling procedures are being followed. • Prepare and distribute correspondence. • Assist with special projects, events, and community outreach. • Maintain and update program/department calendar. • Provide database support for program/department and/or financial development. • Identify and solve problems. • Suggest and implement new procedures to increase efficiency of operations. • Maintain files, records, and computer data. • Continually work to improve administrative systems utilizing technology to ensure the most efficient and effective use of Y resources. • Provide responsive member-focused service and support to the branch, members, vendors, government officials, and staff. This can include but is not limited to the prompt and effective handling of all incoming and outgoing correspondence, and communications. • Coordinate, manage and monitor the workings of various departments in the organization. • Act as liaison and provide support for meetings that support efforts of the Director of Operations and Leadership Team. • Participate in project teams, task forces, focus groups and special projects. • Ensure compliance with established procedures, policies, and safety standards. • Carry out all responsibilities in an honest, ethical, and professional manner. • Perform other administrative duties as assigned.   Administrator 2: • Supports programs that generate in excess of $4M • Supports in excess of 5+ programs/sites • Supports in excess of 10+ staff members  

Qualifications

Minimum Qualifications: The following are the minimum qualifications which an individual needs in order to successfully perform the duties & responsibilities of this position.  Please note that the minimum qualifications will vary based upon the department size and/or geographic location.     Education & Certification: 1-2 years of college preferred.     Experience & Background:
  • Level 1: 1 year experience and proficiency in Microsoft Word, data entry skills, use of office machines, and organizational skills required.  Prefer 1 year of experience using Microsoft Excel and Access or other relational database.
  • Level 2: 5 years’ experience and proficiency in Microsoft Word, data entry skills, use of office machines, and organizational skills required.  Prefer 3 year of experience using Microsoft Excel and Access or other relational database. 1 year experience supporting an Executive level leader.
