The University of Texas at Austin is seeking to hire an Assistant Director (AD) of Business Operations for the Planning, Design and Construction (PDC) Department. Purpose
Lead and manage a team of operations and business analysts in the production and oversight of reports, databases, networks, and processes that support organizational performance in delivery of facilities repair, maintenance, design and construction services. Develops and conducts project delivery performance analysis and provides metrics on project delivery production and quality to increase outputs and ensure that project controls are being applied across the unit a complex, multifunctional organization delivering facility repairs and renovations across The University of Texas at Austin campus.
Responsibilities
- Provide leadership of a team in support of essential management functions for central databases, project delivery processes, and department-wide performance to assess and influence increased efficiency and effectiveness. Utilize process mapping and efficiency improvement techniques to identify and eliminate non-value-added steps. Regularly review project delivery processes, project management procedures, and other business and administrative processes across Planning, Design and Construction (PDC). Fully coordinates and oversees the implementation of recommended process changes based on observed areas for improvement with data-driven decisions.
- Inform strategic guidance and implement supervisory processes to support PDC divisions. Oversee Customer Service survey tools and be responsive to trends in project performance evaluations to assess needed changes or areas for organizational improvement. Develop performance metrics and advise senior leaders in PDC of performance relative to standard indicators and deliver reports that indicate measures of effectiveness in delivery of products and services. Oversee PDC communications, and training and development programs.
- Coordinate efforts of assigned personnel and supporting organizations to continuously improve information management and data analysis techniques which enhance project delivery processes. Assist PDC divisions with identification of solutions to resolve shortfalls in IT tools, data availability, and-or information analysis capability. Document and prioritize proposed updates to project management systems and other databases. Standardize and simplify information management through use of internal and external databases that organize needs of the unit.
- Guide the strategic and policy needs for execution of planning, design and construction projects. Monitor project funding, schedule, execution strategies, and ensure project status is accurately recorded in FAMIS, CPPM and other authoritative databases. Enable projects to be managed to comply with statutes and contracting requirements and are resourced to meet or exceed client expectations.
- Manage assigned resources required to support business and operations functions. Identify, prioritize, and forecast equipment, personnel, training, and other resources necessary to meet or exceed performance standards. Conduct employee relations tasks to include hiring and all required personnel actions.
