JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 provides administrative support to the Department of Medicine's Fellowship Program Manager and assists with and coordinates aspects of the fellowship programs.

  1. Creates, downloads, and logs evaluations using medical residency software (MedHub). 
  2. Tracks, prints, and logs completed evaluations. Follow through on evaluations not received. Compiles evaluation data and comments into reports for clinical competency committees as well as for semi-annual and annual evaluations.
  3. Creates monthly schedules in the residency management program (MedHub) for fellows.
  4. Tracks fellows’ leave requests. Routes requests to the Program Director and appropriate faculty and medical assistants. Maintain records of fellows' annual and sick leave.
  5. Creates a monthly didactic fellowship calendar and maintains a log of attendance.
  6. Monitors duty hours and prints reports from MedHub regarding any duty hours violations.
  7. Orders and maintains the fellowship's libraries of DVDs, CDs and textbook inventory.
  8. Maintains hard copy files for all current fellows and hard copy or electronic files of previous fellows to include correspondences, ERAS application, transcripts, evaluations, ECFMG certificates, certifications, visa information, summative evaluations, attendance and procedure log records.
  9. Assists the fellowship program manager with the fellow interview process, curriculum descriptions, trainings, scheduling, and planning when necessary.
  10. Provides general administrative and clerical support for fellowship staff and faculty such as preparation of letters, reports, records, and other documents from rough drafts and corrected copies.
  11. Organizes social events and assists faculty, fellows and residents in journal publications.  Assist in the preparation and editing of the department’s newsletter.  
  12. Performs other related duties as assigned.

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of administrative or secretarial experience; OR Associate’s Degree in lieu of experience.  

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to provide excellent customer service. 
  • Excellent computer skills including Word, Excel, and PowerPoint.
  • Ability to work independently. 
  • Excellent written and oral communication skills. 
  • Ability to multitask.
