About the role

IEM is looking for a Full Time- Administrative Assistant to provide comprehensive administrative support to the IEM team in a dynamic office environment. The ideal candidate will be proficient with computer systems and comfortable performing a variety of general administrative tasks to ensure smooth and efficient operations.

 

Primary Location:  

  • Live a commutable distance to the City of Fort Lauderdale.
  • Work in an Office Environment with a team.

Travel Requirements:

  • None currently

Essential Functions:

  • Coordinate all aspects of office administration, including but not limited to:
    • telephone support
    • creation of general correspondence
    • typing
    • filing
    • mailing
    • scheduling
    • updating trackers and SharePoint files
    • creating flyers
    • developing surveys
    • assisting in community meetings
    • making copies
    • sending mail, including UPS and FedEx
    • scanning
    • other administrative duties as assigned
  • Pull documentation needed for contract requirements.
  • Perform data entry for invoicing.
  • Assist with reviewing reports.

Minimum Qualifications:

  • Experience: Two (2) years of experience in an administrative or office management role
  • Proficient in Microsoft Office, with strong expertise in Excel
  • Exceptional organizational skills and keen attention to detail
  • Energetic, dependable, and highly self-motivated
  • Comfortable working in a fast-paced environment
  • Excellent written and verbal communication skills
  • Strong computer literacy and confidence using various software tools

Preferred Qualifications:

  • Knowledge of federally funded grant programs such as CDBG/CDBG-DR and FEMA HMGP.
  • Knowledge of various database and program management tools such as SmartSheet, Power BI, SharePoint, and other Microsoft Office Suite products.

Additional Information:

  • Office Locations: Often, these offices are either owned by the client we work with or by IEM. All candidates are expected to follow any rules and regulations of the office in which they are required to work for that project.

  • Hourly Rate based on location and experience: $20.00 to $23.00
