THIS POSITION IS ONLY OPEN TO CANDIDATES WHO ARE PERMANENT (NOT PROVISIONAL) IN THE CIVIL SERVICE TITLE OF PRINCIPAL ADMINISTRATIVE ASSOCIATE

THE SELECTED CANDIDATE WILL BE OFFERED A SALARY BETWEEN $53,370.00 - $61,376.00.

The Administration for Children’s Services (ACS) protects and promotes the safety and well-being of children and families through child welfare and juvenile justice services and community supports. ACS manages community-based supports and foster care services, and provides subsidized child care vouchers. ACS child protection staff respond to allegations of child maltreatment. In juvenile justice, ACS oversees detention, placement and programs for youth in the community.

The Division of Youth and Family Justice (DYFJ) is responsible for the oversight and management of secure and non-secure detention services for juveniles awaiting disposition in the court system. DYFJ also oversees a network of community-based prevention, alternative to detention, and alternative to placement programs for youth involved in, or at risk for involvement in, the Juvenile Justice system. Further, DYFJ manages a network of providers in or near the five boroughs that operate Non-Secure Placement and Limited Secure Placement group homes for youth who are adjudicated delinquent and are placed by the New York City Family Court.

The Administrative Assistant will assist in a wide range of administrative tasks and clerical support for the daily functioning of the Division and provide direct assistance to the Associate Commissioners and Senior Managers as needed.

Specific duties will include but not limited to:
- Filing and maintenance of records.
- Perform data entry.
- Ensure adequate supplies are ordered and made available for the daily functioning of the Division.
- Provide scheduling and calendar support.
- Plan and coordinate programmatic activities and events for youth and families.
- Plan and organize large scale events including but not limited to employee recognition events.
- Schedule and coordinate meetings and conferences between internal staff and external parties.
- Prepare and format correspondence and forms.
- Sort and scan incoming and outgoing mail.
- Serve as a liaison with internal administrative staff, including staff within payroll, personnel, and facilities, as well as external stakeholders.
- Assist with recruitment and staffing efforts.
- Assist with procurement of goods and services, as well as tracking purchase orders.
- Access and prepare reports for the Division from various internal and various external databases or other systems of record, including but not limited to Connections, GOALS, JJIS, PROMIS, UCMS, Webcrims, and eJustice
- Perform other tasks as requested by the Administrative Manager.

Qualifications

1. A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty; or
2. An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described in "1" above; or
3. A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience as described in "1" above;
4. Education and/or experience equivalent to "1", "2", or "3" above. However, all candidates must possess the one year of administrative or supervisory experience as described in "1" above. Education above the high school level may be substituted for the general clerical/administrative experience (but not for the one year of administrative or supervisory experience described in "1" above) at a rate of 30 semester
