Position Summary:

This is a junior Chief-Operating-Office (COO) role for the Post Trade Technology (PTT) team, reporting into the lead COO in London. This function ensures the effective operation and delivery of the PTT organization across the US, UK, and Asia.

This is a dynamic role, requiring the ability to quickly adjust actions and priorities as well as lead a broad range of people and organizational routines. Provide centralized project oversight of the Post Trade Technology’s development teams’ portfolio of initiative work:

  • Management of meeting agendas and minutes
  • Take a lead role in developing the people agenda across the broader team such as people development, employee engagement, and training adoption. 
  • Facilitate extended management meetings
  • Prepare materials for Business Controls Forum
  • Produce consolidated Line of Business level project reporting for the senior leadership team. Ensure accurate and timely reporting across the broad portfolio of projects run by PTT by coordinating between corporate governance team and the project managers to ensure alignment in the usage of the internal tools used to track cross-LOB programs within GT&O
  • Work with the relevant Project Managers to capture key project metrics and information for executive level reporting
  • Run monthly project reviews with senior management on current project activities and status
  • Work across the globally distributed Technology teams on frequent ad hoc initiatives and requests 
  • Manage a broad portfolio of management requests of information, business presentations, and responses to enterprise issues and communications.
  • Provide centralized project oversight of the Post Trade Technology’s development teams’ portfolio of initiative work:
  • Ensure the organization meets its requirements for team structure such as FINRA registration, span of control, and private-public side alignment.
  • Interact across the organization daily on the above. Work weekly/monthly with senior PTT management on business/organizational reviews (headcount ratios, hiring status, financials, etc.)
  • Identify areas of over or underspend and opportunity for reassignment to alternate opportunities or investments.  
  • JIRA costing
  • Preparation of weekly Accomplishments email/document
  • Facilitate preparation and running of Townhalls and materials
  • Work across the PTT team when operational issues are identified and help compile and track “back to green” plans.
  • Enforce and perform compliance coordination to ensure the PTT teams are meeting all the control requirements

Required Qualifications:

  • Strong verbal and written communication skills - must be able to:
    • Interact productively with team members across PTT in multiple locations and time zones
    • Engage with senior management / executive level management
    • Present data and messages clearly and concisely
  • Familiar with a very adaptable / flexible approach with the ability to respond to constantly changing business and Tech & Ops demands, often at short notice

  • Proven ability to learn and develop new skills in role
  • Strong control mind-set: have a superior business acumen, with the ability to question and probe data and processes
  • Intermediate/Expert MS Office skills, especially Excel and PowerPoint, to track and manage many different types of efforts and data
  • Self-starter, self-motivated and delivery focused
  • Very good attention to detail
  • Good Problem-solving skills
  • Extremely organized/Good time management skills.
