Job Duties & Responsibilities:
- Work directly with the CEO to support all aspects of their daily routine.
- Maintain the CEO and other executive level calendars, including meetings, appointments, speaking engagements, and travel arrangements.
- Receive and screen phone calls and visitors, answer a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution.
- Draft, review and send communications on behalf of company executives.
- Organize and prepare for meetings, including gathering documents, and attending to the logistics of the meetings or events.
- Routinely perform a wide variety of support functions for executives and executive office departments.
- Provide coordination, monitoring and communication for projects managed by the Executive Team.
- Prepare letters, presentations, reports, forms and other documents.
- Manage end-to-end logistics for events: venue selection, vendor coordination, catering, technology, materials and follow-up communications.
- Track key dates, plan ahead for executive and organizational milestones, and maintain deadlines.
- Assist with internal communication and special projects.
- Maintain various records and documents for the organization.
- Prepare, reconcile and submit expense reports.
- Additional job responsibilities as directed and as assigned.
Qualifications
- High school diploma required, bachelor's degree is preferred.
- Minimum of 2 years of administrative support experience preferably in similarly situated role.
- Mental Health or Healthcare industry experience a plus.
- Must have strong organizational and time management skills with the ability to multitask and prioritize effectively.
- High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms such as Zoom and Teams.
- Experience with Canva preferred - ability to create visually compelling presentations, reports and internal communications.
- Exceptional writing, editing and proofreading skills.
- Demonstrated ability to work independently, take initiative, and anticipate needs.
- Exceptional verbal communication skills.
- Ability to identify information, materials, and resources needed to complete a project or assignment.
- Self-starter with a high degree of professionalism, discretion and emotional intelligence.
