Facilities Planning and Services Manager

We are seeking a strategic and result-driven Facilities Planning & Service Manager to lead our Real Estate, Facility Management, and Asset Management Functions.  This role will oversee the planning, execution, and optimization of real estate portfolios, occupancy planning, cafeteria operations, and the lifecycle management of physical assets.  The ideal candidate will bring a strong background in facilities operations, space planning, vendor management, and cross-functional leadership. 

Responsibilities:

  • Facility Occupancy Strategy: Manage Club’s administrative and retail facility occupancy strategy for its national/multi-state real estate assets, including acquisition (purchasing and leasing) and disposition or real estate.

  • Maintenance and Lease Administration: Oversee ongoing maintenance, engineering, and lease administration across a portfolio of over 4.1 million square feet, encompassing 291 properties valued at over $1 billion.  Ensure adherence to corporate social responsibilities and sustainable operating standards.

  • Design and Construction Management: Manage the design, construction, renovation, and remodeling of existing and new sites, adhering to best practices and green building standards.  Ensure all projects are on schedule and within budget, select appropriate contractors and vendors, and approve expenditures.

  • Capital Forecast Management: Oversee the Club’s capital forecast related to facilities, evaluating and determining the best use of capital funds for projects such as roofing, HVAC, tenant improvements, and environmental issues.

  • Executive Presentations: Present facilities strategy and other projects to Senior Vice Presidents.  Interface with upper management on facility issues, workplace design, and occupancy planning.

  • Operating Budget Management: Manage the Club’s real estate operating budget, which exceeds $50 million annually across more than 250 charge sections.

  • Cafeteria Oversight: Oversee the performance and strategic direction of the cafeteria operated by a third-party vendor (Sodexo).  Serve as the primary liaison between ACE and Sodexo, focusing on service quality, compliance, cost control, and employee satisfaction.

  • Interdepartmental Coordination: Interface with other business units to determine their facilities needs and the best course of action for each.

  • Daily Problem-Solving and Decision Making: Address facility incidents, approve large expenditures, determine best practices for construction/improvement projects, and satisfy the facility needs of various business units.  Refer certain decisions to the Vice President, Senior Vice Presidents, or CEO as necessary.

Qualifications:

          • Education: Bachelor’s degree or equivalent combination of education and experience

          • Experience: 5-7 years of experience in building management, maintenance, construction, real estate, or related fields

          • Management Experience: 3-5 years of management experience

          • Service Quality and Productivity: Proven ability to achieve high service quality results and meet productivity levels

          • Communication Skills: Comprehensive written and verbal communication skills, along with demonstrated people management, organizational, and time management skills

          • Contract Analysis and Negotiation: Experienced in the analysis, development, and negotiation of legal contracts, including lease and service agreements, construction contracts, estoppels, and purchase and sale agreements

          • Financial Analysis: Ability to prepare and analyze financial reports, develop cost-benefit analysis, and create detailed written proposals and recommendations

          • Leadership: Demonstrated leadership capabilities, including the ability to develop, mentor, and motivate employees

          • Strategic Mindset: Demonstrated strategic mindset and forward-thinking abilities

          • Management Skills: Comprehensive management, organizational, and time management skills

          • Technical Proficiency: Advanced proficiency in Microsoft Office software, including Outlook, Word, PowerPoint, Excel, and Access

          • Possess a valid driver's license and an acceptable driving record

          • Provide proof of automobile liability insurance at time of hire

          The starting pay range for this position is:

          $142,300.00 - $189,200.00
