Administrative Coordinator

What you will do

Let’s do this. Let’s change the world. In this vital role you will provide complex administrative support to various team members  within the Ultra-Rare Medicines team.

  • Ensures timely coordination of department members’ administrative needs:
    o Manages multiple and/or or complex team calendars (Outlook)
    o Coordinates local and international travel, meeting arrangements, visitor accommodations, and processes expense reports for department travelers
    o Organizes meeting rooms, including logistics, catering and equipment needs
    o Prepare and process forms, documents and correspondence; anticipates, revises and sends correspondence Making travel arrangements and preparing expense reports
  • Assisting with special projects
  • Coordinating processes including invoicing, purchase orders, mailings and courier/deliveries
  • Maintaining department email distribution lists
  • Preparing agendas and taking action-items as the need arises

Basic Qualifications:

Associate’s degree and 2 years of administrative experience

OR

2 years in a technical school setting with hands-on experience

OR

High school diploma / GED and 4 years of administrative experience

Preferred Qualifications:

  • 5+ years experience in an administrative support role
  • Strong Outlook, Excel, PowerPoint Skills
  • Knowledge of SAP, WebEx, MSTeams, SharePoint and Concur
  • Experience working in biopharma industry
  • Strategic problem solver who loves to “think ahead” and anticipate solutions to logistical issues
  • Ability to work in a fast-moving, results oriented environment
  • Discretion in dealing with proprietary information
  • Helpful, can-do attitude with a solution-oriented approach
  • Polite and personable ‘team player’
  • Skilled at remaining calm under pressure
