About the role
Description
The Office Administrator is responsible for supporting the daily operations of the West Des Moines office by maintaining an appropriate work environment, managing third party vendors that provide service for the office, managing office supplies, incoming/outgoing packages and mail and answering phone calls.
RESPONSIBILITIES
- Works closely with third party vendors who provide support to the office
- Answering incoming phone calls, emails, and mail from customers, business partners, and regulators and directing them to relevant staff
- Work with maintenance companies to keep the office clean and safe and ensure all aspects remain in good working order
- Receive, open and sort mail to the appropriate party
- Track and replace office supplies as necessary
- Maintain a professional front desk appearance
- Greet anyone coming into the office and direct visitors to the appropriate person
- Monitor office security by maintaining a visitor log for guests to sign in and out
- Help other employees complete projects as necessary
- Be familiar with department managers to help coordinate customer issues
- Escalate any issues within the office to upper management
QUALIFICATIONS
- High School diploma or equivalent
- Associate or Bachelor’s degree in related or comparable field preferred. An equivalent combination of education and experience may be considered
- A minimum of 2-3 years office experience in an office setting preferred
KNOWLEDGE AND SKILLS
- Strong written and verbal communication skills to produce reports, assign tasks, accept instructions, and communicate with external parties
- Strong and proven organizational skills and the ability to multitask to complete a wide variety of tasks
- Flexibility to adjust to new tasks should company or office needs change
- Strong interpersonal skills to interact positively and professional with all levels of employees
- Immense attention to detail to ensure tasks are completed thoroughly, accurately, and timely
- Able to design and execute new accounting processes and internal controls
- Problem solving, organizational, time management and communications skills
- Understand Microsoft Office products (Outlook, Word, Excel)
