About the role

Front Line support to the manager or supervisor as related to day to day operations of the office or department. Duties include: employee resource, onboarding, sourcing/recruitment, HR general functions, reception, word processing, spreadsheet preparation, data entry, clerical duties and other duties as required.

Roles & Responsibilities:

Administrative Assistant – Human Resources / Onboarding

 

Recruitment and Onboarding

  • Manage the full cycle pre-employment on-boarding process for final selected candidates, and provide the highest level of customer service to all new hires.
  • Collects, analyzes information from applications submitted by all potential new hires. This involves all aspects of the new hire process including meeting compliance and quality assurance standards.
  • Execute strategies that improve the overall on-boarding management process and ensure a seamless on-boarding experience.
  • Manages/communicates/coordinates/responds/verifies – collect required documents, reference checks, Primary Source Verifications, analyzes data from the submitted applications, partners with recruiters and manager, demographics, EHS physicals, background checks, International Personnel, ensures compliance with standard onboarding practices and procedures, new beginnings orientation, coordinate start dates. 
  • Monitor postings , update, and review requisitions on ATS and as required by CBA guidelines, track JSF candidates.  Source, review, and screen applicants for review. 
  • Other duties as assigned.

 

HR administrative support

  • On-site Administrative Assistant providing human resources support to employees and front-line support relative recruitment, benefits, and employee information/resource services.
  • Interaction with management and staff.  Provide administrative and clerical support to HR Managers, front desk/receptionist duties, special projects as assigned.
  • Respond to frequently asked questions related to standard policies, general benefits information, hiring processes. employee issues/concerns, including pay, benefit time, leave of absence/short term disability updates with oversight from HR management.
  • Develop and maintain electronic trackers, templates, files, office systems and other documents to maintain and improve efficiency within the Department.
  • Attends meetings as required, including in-service meetings, agenda preparation and tracking minutes and attendance.  Other duties as requested by department. 

 

Requirements:

  • Bachelor’s Degree preferred or equivalent related experience and education.
  • 6 months of recruitment or equivalent related experience in on-boarding new hires
  • Experience with union Collective Bargaining Agreements preferred.
  • MS Office Suite advance skill level.
  • Experience with Applicant Tracking Systems.

 

Compensation Statement

The Mount Sinai Health System (MSHS) provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for this role is $31.96 - $31.96 Hourly. Actual salaries depend on a variety of factors, including experience, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
