Job Description
The University of Nevada, Las Vegas invites applications for Administrative Assistant IV, Department of Physics and Astronomy, College of Science [R0143024].
ROLE of the POSITION
This job is 100% In-Person at the UNLV campus. Incumbent manages the Department of Physics and Astronomy’s Main Office and reports to the College of Sciences Business Manager and Chair of the Department of Physics and Astronomy. The position provides a high-level of administrative support to the chair of the department as well as department faculty, staff and students. This position serves as the primary point of contact for the Chair and works closely with the Chair providing executive support on a daily basis. Incumbent facilitates communication for the Chair between the Department of Physics and Astronomy, the College of Sciences, HR, Payroll, Student Enrollment Services, Scheduling, Summer Term, International Students and Scholar Services, Graduate College, Vice Provost for Research Office and the Provost’s Office. Proficiency in office and support systems including Workday, MyUNLV, Archibus, MSOffice, SalesForce, and Anaplan is preferred. Incumbent schedules all faculty meetings along with posting agendas and minutes for all meetings. They will coordinate department events such as the Russell Frank Astronomy Lecture Series (Annual event); and guest seminar speakers, colloquia, thesis defense, etc. Incumbent is expected to work collaboratively with their fellow staff, faculty and students, as well as campus academic and administrative offices. They are expected to maintain a positive working relationship with the Dean’s Office staff.
MINIMUM QUALIFICATIONS
Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.

Applicant must have the ability to multi-task and work in a dynamic and fast-paced environment.
Candidates with experience in Workday, PeopleSoft, and Microsoft Word, Excel, PowerPoint, project management, Grad Rebel Gateway, Anaplan, Archibus, and the documented ability to learn new software systems are encouraged to apply

SALARY
Grade 29, Step 1, salary $45,184.32. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
