How you’ll contribute:

 

The Office Coordinator ensures that office operations and programing in the outpatient department operate efficiently and professionally while providing a high standard of customer satisfaction. The Coordinator ensures outpatient programs are compliant with all laws, rules and regulations of federal and state licensing agencies, as well as The Joint Commission standards for quality care. The Coordinator oversees the work performance of the non-clinical outpatient staff. The Coordinator oversees the office processes and procedures to ensure quality patient experience.

 

•    Conducts audits and manages all aspects of the admission process to ensure accurate patient care tracking.
•    Assists with completing pre‑admission documentation and gathering required assessments and surveys.
•    Maintains therapeutic materials and updates program schedules per clinician direction.
•    Coordinates patient group assignments and assists with daily operational workflow.
•    Provides exceptional customer service to patients, families, referral sources, and stakeholders.
•    Assists with capturing vital signs and urine drug screenings when required.
•    Completes required reporting accurately and on time.
•    Organizes, files, and maintains program documentation and records.
•    Manages staff scheduling, monitors attendance, and ensures adequate program coverage.
•    Conducts chart audits and collaborates with the treatment team to ensure compliance and follow‑up completion.
•    Oversees scheduling of family sessions and clinical assessments within required timeframes.
•    Maintains program data, prepares reports, assists with census tracking, and supports business office reporting needs.
•    Cross‑trains in outpatient support functions such as Behavioral Health Technician and Transportation.

What we are looking for:

•    High School Diploma/GED required. 
•    One year of experience working in a psychiatric health care facility preferred. 
•    CPR certification required within 30 days of employment and prior to any patient contact. 
•    De-escalation certification required within 30 days of employment and prior to any patient contact.
