Sr. Inventory and Shipping Coordinator

The Opportunity:

In this role, you will report to the Manager, Onsite Services and will work closely with the Avantor’s Lab and Production Services team of over 1,500 on- and off-site expert personnel – and our customers – to perform customized, mission-based lab work and research protocols that help return time back to science.

Location: Waltham, MA 02401

Shift: Mon – Fri, 7:30 am – 4 pm

Wage: $25 - 27 per hour

What we’re looking for: 

• High School diploma or GED is required. 

• 1 + years’ experience in shipping.

• Minimum 2 years of inventory replenishment, material handling, and/or customer service experience is required.  

• Microsoft Office experience required with proficiency in Word and Excel. 

• Covid-19 vaccination required.

• Understanding and experience in either shipping, inventory, and/or purchasing required.

• Excellent customer service skills with the ability to display a professional, can-do demeanor required.

• Effective communication in writing and verbally with both the customer and internal contacts required.

• Able to lift 50 lbs.

• Proactive thinking, ability to prioritize tasks, self-manage and motivate, in order to meet goals.

• High regard for safety, quality and adherence to protocols, policies and procedures

• Cross referencing and inside sales experience strongly desired but not required.

• Conform to all company and customer requirements for background checks, health and safety issues, security clearances required.

• Spill containment, IATA, DOT, IMDG, and OSHA training is desired but not required.

• Cross referencing and inside sales experience is a plus.

Avantor’s Lab and Production Services team is a crucial part of the Avantor Services group serving over 500 customers in biopharma, pharmaceutical, educational, industrial, and high-tech industries with customizable, flexible solutions and end-to-end laboratory operations support.

In this role you will:

• Associate will be responsible for tasks in inventory management (consumables, chemicals, samples, etc.) and accurate inventory control, processing requests leading to inventory movement on and off site and fulfilling customer metric reporting.

• Performs inventory management related functions such as monitoring slow moving and dead inventory, conduct cycle counting, yearly physical inventories, and reporting.

• Provides daily customer service functions and communicates with the customer relative to inventory management.

• Purchasing functions including but not limited to back-order reporting and expediting, direct factory shipments, 3rd party support, running quotes, document control, records maintenance, and resolving open invoices or pricing issues.

• Responsible for all customer service-related order entry, reporting, maintaining metrics, and cost savings tracking.

• Performs shipping coordination activities such as shipping customer material, handling routine issues, operating basic warehouse equipment, entering shipping information into the customer computer system, and equipment inspections.

• Handles hazardous material and preparing shipping documentation and packaging requirements.

• Interfaces directly with customer point of contact, purchasing directors, facility directors and plant managers.

• Responsible for handling consigned, non-consigned, customer owned or 3rd party inventory.

• Uses Avantor and customer computer systems (SAP, Citrix, Intranet, Avantor Inventory Management Systems, ChemSW, and customer specific systems) in fulfillment of job duties.
