Title: Assistant Director of Operations for Parent Giving and Engagement

Position Purpose:

This role works as part of a team in the office of Parent Giving and Engagement to provide tactical support toward reaching the engagement and philanthropic goals of the Bates Parents Fund. This role is responsible for the management of constituent data, executing the communication strategy for the team, and provide additional advanced administrative support through volunteer training and management, preparing email and direct mailing campaigns, and coordinating email and phone responses to constituent inquiries. This role will handle complex and confidential situations and requests, and serves in a highly visible capacity as a department resource with parents, staff, faculty, and other constituents. This role requires a high level of comfort with the preparation and analysis of data and with utilizing excellent interpersonal skills to manage conversations with constituents and campus partners.

Job Duties:

Data Support & Program Execution:

  • In order to maximize the impact and effectiveness of family fundraising, identifies trends and patterns in complex data sets, and thinks creatively around the team needs and alternative methods for gaining insight/collecting information/improving fundraising tactics, and works to create efficiencies through data reporting and use.
  • Manages timely execution of segmented, personalized Parents Fund solicitations and engagement outreach for current and incoming families through the preparation of parent data and segmentation and coordination with department and campus partners.
  • Serve as the key point person with Advancement Services for existing and new parent data reports to ensure accuracy and efficiency in reporting.
  • Offers conversion support to Slate for team members during the upcoming database conversion.

Volunteer Management:

  • Manages GiveCampus data, resources, and volunteer feeds, coordinating with Advancement Services as needed, in order to support the success of the Parents Fund, the Parent Ambassador program, and various sets of volunteers within the platform.
  • Provides training, troubleshooting and resource creation for volunteers in the GiveCampus platform in order to expand the reach of the Parent Team through peer-to-peer fundraising.
  • Is willing and able to learn new application features of GiveCampus and best practices for improving team procedures for highly personalized solicitations.
  • Oversee the Parent Ambassador program with the goal of increasing philanthropic support of the college through the building of relationships and family community connections. Recognize and enhance the value of participation in volunteer programs for both family volunteers and (when applicable) their assignments.

Event Planning & Coordination:

  • Provides key strategic and tactical support for large-scale data projects such as registration and data tracking for events and projects, including Back to Bates: Family Weekend and regional Summer Welcome Receptions.
  • Serves as a key partner and logistics lead for in-person campus and regional family events and for virtual family events and webinars.
  • Utilizes data to ensure the purpose of events are meeting the team's strategic goals of family connection and philanthropy. 
  • Organized and detail oriented in all stages of event planning and preparation and creative in facilitating opportunities for constituent engagement and stewardship.

Communication & Interpersonal Skills:

  • Develops a strong knowledge of campus resources and departments to connect constituents to the most helpful point person or resource.
  • Develops and maintains collegial relationships through a collaborative and positive attitude.
  • Serves with enthusiasm and empathy as the first point of contact for constituents reaching out to the shared inbox or phone line.
  • Demonstrates an understanding and respect for confidentiality and discretion around constituent data and privacy.
  • Has the ability to synthesize complex or highly-detailed information and share or present it (verbal and written) in a concise, logical, analytical manner.
