Position Overview:
As Project Administrator – HPDU Site Applications and Construction, you will play a critical role in supporting the planning, execution, and completion of HPDU site construction and preparation projects. This position involves coordinating project documentation, managing schedules, creating reports, and facilitating communication among project teams, subcontractors, and clients. The role ensures that all project activities are well-organized, efficient, and compliant with industry standards. You will report directly to the Special Materials Program Manager for HPDU.

Your Day to Day as Project Administrator – HPDU Site Applications and Construction:
Document Management:
- Maintain comprehensive project records, including contracts, change orders, payment applications, and permits
- Ensure all documentation is accurately filed and easily accessible for project team members
Project Coordination:
- Assist the Program and Project Managers in scheduling meetings and coordinating project activities, including site visits and inspections
- Facilitate communication between project teams, subcontractors, and clients to ensure timely updates and issue resolution
Financial Administration:
- Prepare and track project budgets, including tracking expenses and processing invoices
- Assist in the preparation of financial reports and forecasts for the project manager
Scheduling and Planning:
- Support the development and maintenance of project schedules, ensuring alignment with project milestones
- Monitor project timelines and notify the Project Manager of potential delays or issues
Compliance and Quality Control:
- Ensure that all project activities comply with relevant safety regulations and industry standards
- Assist in preparing for inspections and audits by maintaining up-to-date records and documentation
Reporting:
- Prepare regular status reports on project activities, timelines, and budget performance for project management
