About the role

As the Principal Clerk at Veritas Prep High School you’ll be an important part of the school’s Operations Team. You’ll provide administrative support to the principal and other school leadership staff. This position is responsible for managing daily office tasks, maintaining school records, handling correspondence, and assisting with the coordination of school activities. The Principal Clerk ensures the smooth operation of the school office and helps create an efficient and organized environment for staff, students, and parents. 

Additional Responsibilities

  • Provide general administrative support to the principal, including scheduling appointments, meetings, and events.
  • Manage the main office by answering calls, monitoring the main doors, greeting and processing visitors, organizing the office area, and ensuring that the lobby and main office reflect a professional, tidy appearance
  • Direct office communication by answering phones, addressing inquiries, and directing calls to appropriate staff members
  • Maintain student and staff records, ensuring all data is accurate, updated, and compliant with relevant regulations.
  • Perform clerical tasks such as typing, filing, photocopying, and preparing reports as required by the principal and other school leaders.
  • Use PowerSchool to
    • manage daily attendance, including tardies and dismissals, ensuring all students have been marked accurately and communicating with families if a child is absent
    • collect attendance and other data and to create and share weekly reports
    • maintain up to date student and family records in PowerSchool
  • Support school-wide systems
  • Support enrollment management, including new students and transfers, as well as materials for recruiting events and outreach
  • Maintain office supplies, equipment, and other administrative tools necessary for the day-to-day running of the school office.
  • Process and track non-inventory supply orders
  • Assist in organizing and coordinating school events, including assemblies, parent-teacher conferences, and extracurricular activities.
  • Communicate relevant information to families
  • Manage and produce key communication in Deanslist and other platforms
  • Assist with special events celebrating the achievements of our scholars and welcoming families to the school
  • Sort and distribute mail Coordinate mailings and other communication
  • Make copies as required
  • Support members of the Administrative Team with specific requests, as needed
  • Collaborate with and attend weekly planning meetings with Operations Team 
  • Assist with document translation 
  • Support the Early college program

Requirements

  • Strong communication skills, both verbal and written
  • Strong computer skills, including Microsoft Office, Word, Excel, Google Suite 
  • Ability to work independently on a variety of tasks
  • Strong interpersonal and communications skills with vendors, students, parents/families, colleagues, and community members
  • Previous experience in operations (experience in school operations preferred)
  • Strong attention to detail and follow-through
  • Strong time management skills and the ability to manage multiple tasks simultaneously and meet tight deadlines
  • An unwavering belief that all students can achieve amazing things
  • A passion for continuous growth 
  • A dedication to fighting racism in our educational institutions and in daily life, and knowledge of the history of race and racism, as well as the systems of oppression our students face
  • Fluency in Spanish (preferred)
  • Associate’s degree (preferred)
  • Current authorization to work in the United States – a candidate must have such authorization by his or her first day of employment
