What is the Executive Administrative Assistant responsible for?

We are looking for an experienced Executive Administrative Assistant to join our team at our new flagship office at One Madison Ave in New York City.  As an integral partner, the Executive Administrative Assistant will provide dedicated administrative support to the Chief Financial Officer/Chief Operating Officer and assist other executives, as requested.  A positive can-do attitude, the ability to work cross-functionally, and resourcefulness are crucial, as is a high-level of professional integrity and confidentiality.

What are the ongoing responsibilities of the Executive Administrative Assistant?

  • Provide administrative support to CFO/COO and assist other executives, as requested.  Responsibilities include calendar maintenance, meeting coordination, phone coverage, email management, ordering office supplies, etc.

  • Coordinate complex domestic and international travel plans. Assist with all aspects of business travel management, agenda details and subsequent expense reporting

  • Provides superior client service to visitors and callers; maintains the highest level of professionalism and composure under pressure

  • Undertakes essential project activity as needed, compiling and analyzing relevant data

  • Creation and/or editing presentation materials

  • Assist with creation and distribution of communications

  • Maintain an extremely high level of confidentiality on a variety of company and personal matters

What ideal qualifications, skills & experience would help someone to be successful?

  • 5+ years experience supporting senior management in a professional environment, financial services experience preferred

  • Experience working with members of senior management, board members and high-profile clients, confident in communicating with clients and business partners of varying seniority

  • Ability to assess a problem quickly and determine to what level it should be elevated

  • Well presented, able to demonstrate initiative and clear decision-making skills

  • Ability to multi-task, work well under pressure and adapt to unexpected circumstances

  • Strong technical aptitude and proficiency with Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams)

  • Ability to work in the office 4-5 days per week and outside business hours, as required

We expect the annual salary for this position to range between $92,000.00 - $110,000.00, depending on location and level of relevant experience, plus discretionary bonus.
