Position Summary
Works as a team with Sales, Account Managers, and Production to meet and exceed the expectations of the customer. Required to build strong relationships with sales/customers and production team, to ensure accurate and on time completion of all projects.
Primary Duties and Responsibilities
- Writes up and processes job tickets based on estimate, quote, PO, art and special instructions provided by Sales. Maintains an updated ERP doc as well.
- Works with Account Managers to field customer inquiries when the salesperson is out of the office or is otherwise unavailable.
- Maintains daily status of all jobs they are handling to know where job is at all times.
- Maintains direct contact with Scheduling concerning delivery date, job status, and job progress. Communicates any job problems and changes to production personnel.
- Works directly with preflight, planning, prepress, library and all production departments to troubleshoot and solve problems on job using critical thinking skills.
- Communicates any job problems and changes to Sales Representative and/or customer including, but not limited to, specifications, art, schedules, application, etc.
- Facilitate communication between the customer and functions performed by our pre-press departments (Library, Art, and desktop) to meet customer deadlines.
- Obtains authorization from Sales for additional costs that have been requested or incurred to the job and creates/handles change orders.
- Calls huddles as needed to facilitate job communication with Production and perform kit checks.
- Communicates potential job issues to their production meeting advocate prior to the AM meeting to state job schedule concerns and relay pertinent information to production.
- Complete an accurate billing summary/pre-invoice for Billing Coordinators based on information provided from sales.
- Enter shipping information into Monarch via manually, excel spreadsheet for import, or IX database. Also, send customer tracking information, packing slips, BOL, etc. after job has shipped.
*Other task and duties may be assigned at your supervisor’s discretion.
Qualifications
Education, Skills, Experience & Abilities:
- High school diploma, general education degree or equivalent.
- Computer experience, Microsoft Office products experience – Strong Excel Skills a Must
- Experience working with customers and Sales
