WORKING TITLE: ADMINISTRATIVE ASSISTANT I

This open competitive advertisement is for a Career Service position located at Calhoun Correctional Institution in the Warden’s Office.

The mission of the Administrative Assistant I is working in the Duty Warden's Office is to provide essential administrative support to ensure the efficient operation of the office.

This position is not a telework position and is required to report to the FDC office in the area it serves.

 

JOB DUTIES:

  • Comprehensive Administrative Support: Provide administrative assistance to the Warden by researching and gathering data, preparing written and statistical reports, and making independent conclusions to support decision-making.
  • Drafting and Reviewing Documents: Review, analyze, and prepare drafts of interoffice memorandums, correspondence, and confidential material for the Warden's approval, ensuring accuracy and compliance.
  • Public and Staff Interaction: Interact with the public and staff courteously, respond to questions, interpret rules and policies, and refer inquiries to the Warden as needed.
  • Event Coordination and Scheduling: Maintain the Warden's calendar, coordinate scheduling for meetings, conferences, and training events, and manage the use of assigned vehicles.
  • Data Compilation and Reporting: Compile data from department heads, prepare bi-weekly and monthly reports for the Warden's review, and ensure timely distribution of mail and correspondence. Maintain accurate and secure office files and documents.

REQUIREMENTS:

  • Must possess a high school diploma or its equivalent.
  • Must have five (5) years of secretarial or clerical work experience.

PREFERRED QUALIFICATIONS:

  • Previous experience in a correctional setting.
