Job Description:

Summary:

The Student Part-Time CTRL Administrative Assistant is responsible for managing the daily operations of CTRL, including maintaining equipment and services, ordering supplies, managing all CTRL physical facilities, managing CTRL’s phone, email account, and calendar (including the process of sending mass emails to faculty), supporting the management of CTRL’s faculty award programs, performing some budgetary and Human Resources work, and maintaining the office operations manual. They are also responsible for all space reservations and catering orders for CTRL events, as well as assisting with the execution of all in-person or online events as needed.

Responsibilities:

  • Budget management (Processing payments; P-card and Travel Card reconciliation).

  • Human Resources Workday tasks (hiring and termination actions; job description management, etc.).

  • Responsible for monitoring CTRL’s email account and phone.

  • Plans, composes, and sends CTRL’s mass emails to faculty.

  • Manages CTRL’s calendar.

  • Manages the CTRL office space and equipment.

  • Orders office supplies as needed.

  • Manages catering orders for CTRL events.

  • Manages space reservations for CTRL events.

  • Supports the management of the SoTL and AFCD Award programs.

  • Provides general office support to the Assistant Vice Provost and other CTRL staff.

  • Assists with programs and events as needed.

Position Type/Expected Hours of Work:

  • Part-Time.

  • Position duration is 30-weeks.

  • 20 hours per week during the fall and spring semesters.

  • Variable hourly work during spring, summer, and winter breaks (with high volume work during the two weeks prior to the beginning of the fall semester, the week prior to the beginning of the spring semester, and the week following the end of the spring semester, due to major events).

Salary Range:

  • $18.00 per hour.

Required Education and Experience:

  • Current AU graduate student with completed BA/BS.

  • The individual filling this position must be creative, results oriented, excel in customer service and have strong administrative skills.

  • Must be able to exercise initiative, work independently, multitask, and project a professional image at all times.

  • Expertise in the Microsoft Office suite is required.

Preferred Education and Experience:

  • Event management and marketing experience, especially working with senior managers, senior scholars and university faculty.
