The Gordon Center has an exciting opportunity for a full-time Sr. Program Coordinator to work in Miami, FL.   The Senior Program Coordinator provides administrative support to faculty and acts as a liaison between faculty, students, and other Universities. This position assists in the development, monitoring, and reporting of departmental budgets.

  • Works closely with students to continuously evaluate their learning experience and improve quality and value of the program.

  • Registers students for courses using University procedures and systems.

  • Acts as an academic advisor for students in the program and as a career advisor for prospective and continuing students.

  • Develops strategic partnerships with external entities and organizations.

  • Creates monthly budget reports to ensure operations are within plan.

  • Assists with database maintenance and enrollment management.

  • Ensures administrative processes and associated forms for instructor services are completed in a timely manner.

  • Responds to various instructor requests and telephone, email, and internet submissions for all programs.

  • Prepares faculty payroll for the program.

  • Plans and participates in open houses for the department.

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent

  • Minimum 3 years of relevant experience

  • Skill in completing assignments accurately and with attention to detail.

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to process and handle confidential information with discretion.

  • Ability to work evenings, nights, and weekends as necessary.

  • Commitment to the University’s core values.

  • Ability to work independently and/or in a collaborative environment.

  • Proficiency in computer software (i.e. Microsoft Office).

DEPARTMENT SPECIFIC FUNCTIONS

The Gordon Center for Simulation & Innovation in Medical Education (Gordon Center) is located at the University of Miami Miller School of Medicine.  The mission of the Gordon Center is to develop, disseminate and evaluate leading edge educational programs by using advanced technology and simulation systems.  The Gordon Center trains more than 18,000 registrants per year, including paramedic firefighters, nurses, physicians, medical students, and physician assistants. 

The Senior Program Coordinator will assist with day-to-day administrative support for the Gordon Center

Direct Clientele Support

  • Assist callers to the main Gordon Center telephone line with requested information about center programs and direct them to the proper staff or faculty member, taking messages and retrieving recorded voice mail messages and relaying as necessary.

  • Maintain vigilance of Gordon Center daily schedule for:

  • Prehospital Emergency Training (PET) Division continuing education classes, noting all locations.

  • Medical student trainings, space assignments, and respective overseeing program staff and/or faculty

Administrative, Operations, and Clerical Support

  • Provide cross coverage due to illness, vacation, special events, or accrued backlog

  • Be competent in searching and entering events in Simmetrics, the software used to manage scheduling space in the Gordon Center to:

  • Help input classes each term with respective facility needs for efficient allocation of space and resources.

  • Assist in responding and fulfilling to requests to reserve rooms by other departments or centers.

  • Process online parking validation for visitors and specified learners.

Data Analysis

  • Maintains databases to support the department’s planning needs, goals, and objectives.

  • Be a proficient user of the Gordon C
