Our Organization and Mission: The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States. 

 

Position Summary: This Administrative Assistant I position is in the Office of the Attorney General within the Victim Services Unit in Tallahassee, Florida.

 

Pay: $34,416.98 - $38,609.22 Annually

 

Qualifications: 

Four (4) years of secretarial or administrative work experience Or

A high school diploma or its equivalent and two (2) years of secretarial or administrative work experience; or

A bachelor's degree; or

If no bachelor’s degree: College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for up to two (2) years of the required work experience; or

Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for up to two (2) years of the required work experience.

 

The Work You Will Do: The incumbent in this position supports the Operations Management Consultant Finance Liaison as secretarial support in the Bureau of Victim Compensation and plays an integral role in the overall effectiveness and efficiency of the program through daily activities. Duties associated include, but are not limited to the following: 
 
Communicates with and processes requests from vendors asking for addition – (to be added) onto the State of Florida Vendor File. Responds to inquiries for clarification pertaining to the Agency Vendor file. This includes but is not limited to processing W9’s received, providing instructions on how to contact DFS’s Bureau of Vendor Relations, correction of payment rejections, documenting activities in claims, etc.
 
Support the OMC-II whose primary duties are to serve as the department’s Finance Liaison. This includes but is not limited to processing the daily Benefit Payment Record, distribute corresponding letters, and resolve technical payment issues pertaining to the report.
 
As directed, process incoming correspondence accurately and in accordance with procedures. This includes receiving, date-stamping, sorting, and distributing mail (physical, postal, and electronic) to appropriate staff; scanning documents for transmittal into the IN-Queue system; and reviewing IN-Queue task sheets to determine relevance and delegation to inventory at the rate in which the correspondence was received. 
 
As directed, perform criminal history background checks for victims and applicants seeking benefits using the Criminal Justice Information System with no margin of error.  
 
As directed, review new applications, expense documentation, and related correspondence for completeness, and perform the data entry of the document information into the applicable claims management system, at the rate in which the correspondence was received and with no margin of error.  
 
As directed, correctly transfers documents into the applicable document imaging systems (OnBase/VANext) immediately upon completion of data entry; record action log notes to document receipt when necessary; update IN-Queue task sheets with applicable information; and process or reassign IN-Queue task sheets in accordance with procedures.
 
Data enter sexual battery forensic examination claims, as needed.
 
Process checks in OnBase and perform other related duties to support the “Checks and Deposits Coordinator”, as needed.
 
Complete special projects as requested and finalize directives within established time frames.
